Job description

We are seeking a proactive and self-motivated individual to provide high-level administrative support to our practice. The ideal candidate will be innovative, forward-thinking, and committed to helping us continuously improve the way we deliver care to our patients. Main duties of the job

The purpose of this role will be to support the smooth day-to-day running of the GP practice by assistingwith operational tasks, quality improvement initiatives, digitalcommunications, and providing administrative support to the management team.

About us

Our practice is situated close to the beach on HaylingIsland and our clinical team comprises 4 GP partners, 3 salaried GPs, paramedicpractitioner, nurse practitioner, 2 practice nurses and 2 HCAs. We are acommitted training practice, hosting GP trainees and students throughout theyear, and are also an active Research Practice. We are part of awell-established PCN group and share clinical pharmacists, a first contactphysio and host of other patient care providers. Our back room staff support iscomprehensive and staff retention is high.

Job responsibilities

Operational Support

  • Add, manage, and monitor appointment slots across clinical systems(SystmOne).
  • Liaise with clinical and administrative teams to ensureappointment availability aligns with demand.
  • Support Rota planning and clinic scheduling.
  • Manage templates and inductions for GP registrars, medicalstudents and new staff.
  • Annual leave management across the teams.
  • Manage the weekly room rota for clinicians.
  • Manage the cover rota for the redistribution of work whenclinicians are on annual leave.

Quality & Data Searches

  • Run and interpret clinical searches and audits (e.g., QOF, IIF,PCN DES).
  • Assist in preparing reports and dashboards for quality improvementand compliance.
  • Maintain accurate records for CQC and other regulatoryrequirements.

Digital Communications

  • Maintain and update the practice website with current information,policies, and news.
  • Maintain practices Team Net platform, including mandatorytraining, policies and protocols, annual leave and rotas.
  • Manage social media accounts (e.g., Facebook) to share healthcampaigns, service updates, and community engagement.
  • Monitor digital feedback and respond appropriately or escalate.
  • Support practice text campaigns (Flu, Covid, health awareness).

Administrative & Management Support

  • Provide administrative support to the management team, includingminute-taking, diary coordination, and project tracking.
  • Assist with internal communications and staff updates.
  • Support recruitment, onboarding, and training logistics.

Working Pattern: Part Time (25 hoursper week)

Person Specification
Experience
  • Experience in a healthcare or administrative setting (NHS experience desirable).
  • Proficiency in Microsoft Office and clinical systems (SystmOne).
  • Familiarity with digital platforms and social media tools.
  • Strong organisational and communication skills.
  • Ability to handle sensitive information with discretion.
Qualifications
  • NVQ Level 3 in Business Administration or equivalent.
  • Training in data protection, safeguarding, and NHS digital tools.
