Job description

Young Manchester is looking for an organised, proactive and detail-oriented Operations & Administration Coordinator to support the smooth day-to-day running of the organisation.

This role sits at the heart of the charity, providing coordination and administrative support across operations, finance, people, governance and executive administration. Working closely with colleagues across the organisation, the postholder will help ensure systems, processes and records are maintained effectively, enabling the wider team to focus on creating positive outcomes for children and young people across Manchester.

Main Duties and Responsibilities

Operations & Administration

  • Help coordinate the smooth day-to-day running of Young Manchester, ensuring colleagues, members and partners receive excellent support.
  • Manage organisational systems, records and databases, ensuring information is accurate, accessible and up to date.
  • Coordinate meetings, events and organisational activities, supporting logistics, communications and administration.
  • Provide administrative support for projects, programmes and organisational initiatives across the organisation.
  • Respond to enquiries and act as a welcoming first point of contact for a range of stakeholders.
  • Prepare documents, reports, presentations and other resources to support the work of the organisation.

Executive & Governance Support

  • Support the CEO, Senior Leadership Team, Board and Committees with high-quality administration and coordination.
  • Organise meetings and events, prepare agendas and papers, and ensure actions are recorded and followed up.
  • Take accurate meeting notes and maintain governance records, documentation and organisational files.
  • Support the preparation of reports, presentations and organisational documents.

Finance & People Support

Working alongside the Finance Officer and wider team:

  • Support finance processes including invoices, expenses, purchasing and financial record keeping.
  • Assist with recruitment, onboarding and induction processes, helping to create a positive colleague experience.
  • Maintain staff records, compliance documentation and organisational systems accurately and confidentially.
  • Support DBS, safeguarding, training and other organisational compliance processes.
  • Assist with routine enquiries relating to finance, HR and organisational administration, directing more complex matters appropriately.

  • Experience in an administrative, coordination, customer service or business support role.
  • Experience maintaining records, systems or databases.
  • Experience organising meetings, events or activities.
  • Experience using Microsoft Office and Microsoft 365 applications.

  • Excellent organisational and time management skills.
  • Strong attention to detail and accuracy.
  • Good written and verbal communication skills.

  • Strong IT skills, including Outlook, Word, Excel, Teams and SharePoint.
