Location: Central London (St. Regent’s Street) – 4 days in the office (Mon–Thu), Fridays remote

Contract: End of September 2025 – 30 June 2026 (with strong possibility of extension to 18 months)

Working hours: Monday–Friday, full-time (40 hours per week)

Role Overview

An exciting opportunity has arisen for a proactive and dynamic Team Assistant / Office Manager to join a fast-paced AI division in London. This role provides high-level administrative, operational, and cultural support to senior leaders and their teams, playing a critical part in ensuring smooth day-to-day operations and a thriving team environment.

You’ll work closely with the Head of European Operations and Culture to manage everything from diary and travel coordination to office management, event planning, onboarding, procurement, and project support. This role will suit someone with energy, empathy, and resilience, who thrives in an entrepreneurial and high-performing environment and enjoys fostering collaboration and continuous improvement.

Key Responsibilities

Office & Team Support

  • Create a positive and dynamic team environment, ensuring an excellent office and employee experience.
  • Provide high-level administrative support to senior leaders and the wider operations team.
  • Manage onboarding and offboarding processes, including equipment, workspace, and team integration.
  • Proactively manage senior leaders’ calendars and meeting logistics, ensuring priorities are met.
  • Arrange domestic and international travel, including visas, detailed itineraries, and logistical support.
  • Lead planning and execution of internal and external events, offsites, and team gatherings.

Resource & Budget Management

  • Oversee expense and procurement processes (POs, invoices, supplies, hardware, discretionary budgets).
  • Work with Finance to support budget planning, tracking, and reporting.
  • Manage relationships with suppliers and vendors, ensuring compliance with internal processes.

Project & Space Management

  • Take ownership of special projects across operations, delivering on time and within scope.
  • Drive process improvements and implement best practices to increase efficiency.
  • Oversee workspace allocation, office moves, and space planning, ensuring smooth team transitions.

Cross-Functional Collaboration

  • Act as a point of contact between executives, central teams, and external partners.
  • Communicate with maturity and discretion, representing the values of the team at all times.
  • Support culture-building initiatives and employee engagement activities.

Skills & Experience Required

  • 7+ years’ experience in business support, team assistant, office manager, or executive support roles.
  • Proven experience supporting senior leaders and cross-functional teams in a fast-paced environment.
  • Strong track record in travel coordination, diary management, and event planning.
  • Confident with budget management, procurement, and vendor liaison.
  • Exceptional organisational and time management skills with the ability to prioritise effectively.
  • Professional, discreet, and able to handle sensitive information with confidentiality.
  • Collaborative, empathetic, and culture-focused, with excellent communication skills.
  • Comfortable working primarily on-site (4 days a week) in Central London.
