Job description

An opening exists within an established office seeking an experienced driven office administrator to support the bustling Lettings and Sales Departments, with a passion for the role. The successful office administrator will have a proven track record in an office environment and have at least 2 years experience as an estate agency OR letting agency administrator.

This is a full time position.

Whilst providing exceptional levels of customer service at all times, Office Administrator responsibilities include:

  • Diary management
  • Preparing client letters/market reports
  • Responding to enquiries via telephone and email
  • Preparing property particulars
  • Managing uploads onto property websites/portals/social media
  • Preparing and printing direct marketing materials and mail merges
  • Sending clients marketing terms and conditions and ensuring receipt of client ID and associated documents/compliance
  • Liaison with book keepers
  • Lettings/Sales file constructions
  • Liaising with tenants, letting agents, contractors, our internal team as well as external clients (landlords & vendors) on a daily basis
  • Maintaining client databases
  • Client satisfaction surveys and testimonials
  • Legislation compliance (including requirements of Property Ombudsman)
  • Stationery management
  • Supplier liaison (photographers, floorplans, stationery, leafleteers)
  • Interaction via the social media for the company, scheduling regular posts
  • Managing the company’s social media accounts
  • A wide range of other duties as required by the team

This is a customer-facing role both on the telephone and face-to-face where it will be required to juggle a number of tasks at one time. The successful candidate will get every fourth Saturday off and it is fully office based in our beautiful London office.
