Job summary

OEG is seeking an Office Administrator to join the Marine Division in Dorchester. You will manage crew travel, arrange accommodation and transportation, and provide shoreside administrative support to ensure smooth operations across Europe.

The role requires 1–2 years of administrative experience, excellent time management, and strong communication. You will collaborate with the Crewing Manager to collect information, maintain certifications, and handle onboarding and cost reporting with

Qualifications

  • 1–2 years of proven experience in an administrative or similar role.
  • Excellent time management and multitasking skills.
  • Good communication and interpersonal skills, with the ability to communicate clearly and concisely, both verbally and in writing, including through telephone communication.
  • Ability to organise and prioritise own workload effectively.
  • Ability to work independently and as part of a team.
  • Good general computer skills, including proficiency in Microsoft Word, Excel, and PowerPoint.
  • Strong organisational skills, with a high level of attention to detail and a strong focus on accuracy, together with the ability to plan ahead and manage competing priorities.
  • Strong problem-solving skills, with the ability to think laterally and provide prompt, practical, and cost-effective solutions to challenges and problems.
  • A proactive approach, with the ability to assess the needs of each assignment, take initiative, and seek support when required.

Responsibilities

  • Arrange accommodation, travel, and transportation for all Marine Division crew in line with OEG policies and requirements across Europe.
  • Provide on-call support to marine crew while travelling in the event of travel disruptions, in line with the crewing duty rota.
  • Assist the Crewing Manager in collecting relevant information from new crew members for the preparation and issue of their Seafarer Employment Agreements (SEAs).
  • Monitor and ensure that all crew certification and training requirements are maintained in line with Flag State, Client, and OEG requirements.
  • Assist the Crewing Supervisor with arranging training for crew and office personnel.
  • Monitor all onboarding documentation, including but not limited to inductions, MARAD read logs, and internal training requirements.
  • Manage crew workwear and PPE in line with applicable uniform and allowance requirements.
  • Work closely with the Crewing Manager, providing regular updates on travel and other relevant costs.
  • Provide the Compliance Supervisor with the required data for carbon reporting.
  • Assist the Marine Division with administrative duties and other general tasks as and when required.
  • Ensure appropriate cover is arranged during periods of absence and that the office handover form is completed.

Location

Core Purpose

  • Responsible for managing and arranging crew travel for the Marine Division
