Job description

Reporting into a Project Director, you will manage global meetings, events, and congress participation for our pharmaceutical clients. You will ensure each event is profitable, compliant, and meets clients' and team’s expectations. You will be responsible for all logistical elements and budget management, supported by a Project Executive who will manage attendee participation.

This role, which includes national and international travel, involves client partnership, supplier, and financial management at all stages of the delivery—pre, on-site, and post-event.

What will you do…
  1. Project Management:
  2. Manage all venues and logistical arrangements including congress attendance, business centres, dinners, break-outs, housing blocks, and attrition.
  3. Manage congress sponsorship activities, including approval processes, liaising with client contracting teams, and booth providers.
  4. Coordinate client requirements with third-party suppliers and internal service providers.
  5. Produce, manage, and circulate key communications, such as weekly status reports.
  6. Conduct site inspections, plan meetings with suppliers, and oversee event delivery.
  7. Manage post-event metric reporting.
  1. Client Liaison and Development:
  2. Deliver excellent customer service aligned with client goals.
  3. Plan, attend, and implement client planning meetings—face-to-face, hybrid, and virtual—including debriefs.
  4. Prepare and maintain budgets throughout each event's lifecycle, including invoice approvals.
  5. Track financials, conduct regular health checks, and ensure positive cash flow.
  6. Manage scope to identify and bill out-of-scope activities.
  7. Track cost savings and avoidance measures.
  8. Ensure compliance with invoicing procedures.
  9. Maintain congress cross-charge budgets throughout each event.

  2. Collaborate with support departments to meet client metrics.
  3. Assist new starters as a ‘Buddy’.
  4. Apply our mission, vision, and values.
  5. Follow all company and client procedures.
  6. Maintain good relationships with hotels, venues, and suppliers for value optimization.
  7. Represent the agency professionally as an ambassador.
What do you need to have…
  • At least 3+ years of event management experience delivering corporate events.
  • Experience managing event budgets from initial planning through revisions and reconciliation.
  • Ability to motivate teams and work professionally within a team.
  • Strong attention to detail, accuracy, consistency, and customer service focus.
  • Intermediate Excel skills for managing complex spreadsheets.
  • Willingness and ability to travel internationally onsite.
