Job summary

Our medical secretaries provide comprehensive and high-quality secretarial, administrative, and clerical support to the Rheumatology department, ensuring an effective and efficient service is delivered.

They support the Admin Team Leader in change management and ensure patients are treated with courtesy, dignity, and respect.

They work independently, prioritising and managing their workload daily.

There are no budgetary or staff responsibilities for this role.

Main duties of the job
  • Ensure all test results and investigations are tracked effectively, shown to the relevant consultant promptly, and appropriate action is taken as instructed.
  • Handle patient and carer telephone calls and enquiries efficiently, sensitively, and confidentially, exercising judgment to resolve issues and refer to clinicians as needed.
  • Respond to email queries and answer the nurse helpline.
  • Accurately record clinic outcomes and update or amend records as necessary.
  • Maintain and check clinical diaries (both paper and electronic) against published timetables, using discretion and initiative for arranging meetings and appointments.
  • Manage arrangements for medical staff leave and cover, circulating information and updating clinical schedules.
  • Take and transcribe formal minutes if required.
  • Manage correspondence, bringing relevant information and medical notes to clinicians' attention.
  • Perform office duties such as filing, post handling, photocopying, and managing patient notes to support the department's efficiency.
  • Organise own workload and escalate concerns to the Admin Team Leader.
  • Produce and update Standard Operating Procedures (SOPs) for all secretarial tasks.
