Position Summary

Here at Nestlé, we have a fantastic opportunity for a focused individual to join the Health and Wellbeing Team based in our Nestlé House York office. Medical administration is central to our team, highly valued, and key to the day-to-day running of our services.

A day in the life of a Medical Administrator
  1. Serve as the first point of contact for general telephone, email, and Teams enquiries, managing resolution where possible, and escalating complex enquiries to an appropriate team member.
  2. Support the team daily to ensure smooth service operations, raise tickets, and resolve matters to allow our clinical team to focus on appointments.
  3. Manage scheduling and diaries, ensuring clinics are fully utilized each day.
  4. Perform initial triage for referrals, ensuring all necessary information is provided for timely appointment booking.
  5. Follow up with hospitals and GP surgeries for medical reports and update the clinical team accordingly.
  6. Handle Data Subject Requests, liaise with third parties, and prepare cases for clinical redaction.
  7. Generate monthly statistical reports from our occupational health software system.
  8. Track activities and measure key performance indicators.
  9. Process invoices, monitor costs, and support the budget.
  10. Manage records and storage, maintaining archived files and active records within our occupational health system.
  11. Escalate issues related to the occupational health software system for timely resolution.
What will make you successful?

The ideal candidate will be enthusiastic, self-motivated, proactive, organized, and possess excellent customer service skills along with administrative experience. Strong communication skills and an understanding of confidentiality, consent, and data protection are essential. Knowledge of systems such as Microsoft Office Suite and SAP would be advantageous.
