Job description

Responsibilities:
  1. Staff Management:
  2. Supervise Support Staff: Provide guidance, training, and coaching to administrative assistants, and legal support professionals.
  3. Assign Work: Allocate tasks, set priorities, and ensure timely completion of assignments.
  4. Performance Evaluation: Conduct regular performance reviews and address any performance issues.
  5. Employee Lifecycle: Onboarding/offboarding, HR coordination, and employee experience.
  6. Systems and Procedures: Implement efficient systems, procedures, and policies to enhance office productivity, as well as maintain department intranet and SharePoint sites.
  7. Liaison with Vendors: Participate in contract negotiations with both existing and new service vendors from RFP stage to fulfillment and beyond.
  8. Department Training: Schedule and plan training for staff and department.
  9. Scheduling and Coordination: Develop and maintain schedules for legal support team professionals, and meetings.
  10. Event Planning: Coordinate with other managers, Chief Legal Officer, venues, and speakers for department events.
  11. Inventory Management: Monitor office supplies, equipment, and technology needs.
  12. Liaison with Technical Support: Coordinate with IT support for office equipment maintenance and troubleshooting.
  13. Liaison with Facilities Management: Coordinate with Facilities on office moves, equipment replacements, maintenance, new installations, etc.
Qualifications:
  • Education: A high school diploma or equivalent is required.
  • Experience: Five or more years prior experience in legal administration, office management, or related roles is required.
  • Skills:
  • Strong organizational skills
  • Strong leadership skills
  • Excellent communication and interpersonal abilities
  • Proficiency in office software (e.g., Microsoft Office, legal case management systems)
  • Attention to detail and problem-solving skills

Protective's targeted salary range for this position is $85,000 to $104,000. Actual salaries may vary depending on factors, including but not limited to, job location, skills, and experience. The range listed is just one component of Protective's total compensation package for employees.

This position also offers additional incentive opportunities through an annual incentive based on individual and Company performance.
