Oasis Care and Training Agency (Oasis Training) is a dedicated and values-driven training provider delivering apprenticeships and Adult Education Budget (AEB) funded programmes across various sectors. We are committed to quality education, learner support, and ensuring compliance with all funding bodies.

We are currently seeking an experienced MIS Officer to join our growing team and support the Training and Compliance Department. The ideal candidate will have a sharp eye for detail, strong understanding of ESFA/GLA/ESF funding compliance, and the ability to maintain accurate, audit-ready learner records.

Key Responsibilities

  • Ensure accurate compliance for both internal and external audits across GLA, ESF, and ESFA funding streams
  • Conduct pre-onboarding compliance checks for new learners in line with ESFA regulations
  • Process and audit learner change requests (employer changes, additional learning support, withdrawals, achievements, breaks in learning)
  • Monitor quality of delivery – including progress reviews and off-the-job training requirements
  • Take timely action on non-compliant documentation and liaise with appropriate stakeholders for resolution
  • Liaise with internal departments and external partners to maintain up-to-date learner records
  • Respond to queries from subcontractors and stakeholders within agreed timeframes
  • Carry out monthly audits on additional learning support claims
  • Keep abreast of all updates to ESFA funding rules for Apprenticeships, Bootcamps, and other funding models
  • Maintain data accuracy across multiple platforms: PICs, Quals Direct, SharePoint, e-Sign Up
  • Assign assessors to learners and facilitate communication between learner and assessor
  • Process and archive completion paperwork and learner records via SharePoint
  • Handle day-to-day queries from learners, DWP, and partner organisations
  • Support compliance and learner support teams with eligibility checks and audit readiness
  • Prepare and update learner records through Learning Records Service (LRS)
  • Use DAS to check applicant eligibility and manage updates for employer settings
  • Generate and maintain accurate MIS reports and dashboards in line with internal schedules and performance KPIs
  • Perform any additional tasks requested by directors or senior management

Key Skills & Experience

  • Proven experience in an MIS, Compliance, or Data Administration role within a training provider or similar setting
  • Strong working knowledge of ESFA/GLA/ESF funding rules and audit preparation
  • Proficient in MIS systems such as PICs, SharePoint, Quals Direct, and LRS
  • Confident user of Outlook 365 and Microsoft Office Suite
  • Excellent attention to detail and a proactive approach to problem-solving
  • Strong organisational and time management skills
  • Ability to work independently in a hybrid setting and communicate effectively with remote teams
