Mitie Cleaning & Hygiene Services in Prestwick is seeking a Logistics & Workplace Coordinator to keep our workplace and logistics operations running smoothly. You will coordinate services, facilities, deliveries, office supplies, travel and related logistics, collaborating with internal teams, suppliers and external partners in a fast-paced environment.

This hands-on role requires excellent organisation, communication and problem-solving skills, plus the ability to manage multiple priorities,

Responsibilities

• Coordinate day-to-day workplace and facilities operations, including maintenance, cleaning, security, meeting rooms, office moves and workplace activities.
• Manage logistics and deliveries, including couriers, shipments, collections, equipment movements, storage, transport and accommodation requirements.
• Manage relationships with suppliers, contractors, landlords and service providers, obtaining quotations, placing orders and monitoring service delivery and costs.
• Support health, safety and compliance requirements, maintaining accurate records for facilities, assets, suppliers and workplace activities.
• Complete administration and reporting, including purchase orders, invoices, expenses, stock control, budget monitoring, cost-saving initiatives and operational updates.

Role Overview

We are looking for an organised, proactive and solutions-focused Logistics & Workplace Coordinator to support the smooth and efficient day-to-day running of our workplace and logistics operations. The successful candidate will coordinate workplace services, facilities, deliveries, office supplies, travel and logistical requirements, while working closely with internal teams, suppliers and external partners. This is a hands-on role requiring excellent organisation, communication and problem-solving skills, with the ability to manage multiple priorities in a fast-paced environment.

Main Duties

• Coordinate day-to-day workplace and facilities operations, including maintenance, cleaning, security, meeting rooms, office moves and workplace activities.
• Manage logistics and deliveries, including couriers, shipments, collections, equipment movements, storage, transport and accommodation requirements.
• Manage relationships with suppliers, contractors, landlords and service providers, obtaining quotations, placing orders and monitoring service delivery and costs.
• Support health, safety and compliance requirements, maintaining accurate records for facilities, assets, suppliers and workplace activities.

Skills & Experience

• Previous experience in workplace coordination, logistics, facilities, office management or a similar operational role.
• Strong organisational and time-management skills, with excellent attention to detail and the ability to manage multiple priorities.
• Excellent communication and interpersonal skills, with confidence working with suppliers, contractors and internal stakeholders.
• Strong problem-solving and decision-making abilities, with a proactive, practical and service-focused approach.
• Good knowledge of Microsoft Office or equivalent systems, with the ability to work effectively both independently and as part of a team.
