Owen Reed is looking for a full-time legal Receptionist to join the Facilities and Front of House team for a top law firm in London.
The Legal Receptionist will provide a first welcome link between clients and the firm, offering an excellent first impression either in person or on the telephone.
The Legal Receptionist will assist the wider office and facilities team with general administration, assist with post-event cleaning, and provide an efficient and flexible service to internal clients.
Key Responsibilities of Legal Receptionist
- Provide a warm, welcoming first impression of the highest standard for clients and staff when arriving at reception.
- Promptly and courteously answer and record telephone and reception enquiries and deal with persons calling at the office with appointments or documents.
- Look after clients waiting in reception, notify fee earners of their arrival, and show them to fee earners or interview rooms.
- Be responsible for all documents and post arriving in the office during the day.
- Log every item and visitor consistently for records.
- Provide refreshments for clients/meetings where requested.
- Support events as required, including cleaning after events have finished.
- Work with tact and discretion with clients both on the telephone and face-to-face, maintaining confidentiality.
- Use the Teams system and answer telephone enquiries promptly and efficiently.
- Occasionally cover reception within other offices as required.
- Attend departmental and other meetings and training as required.
- Prepare, refresh, and ensure high standards in all meeting rooms before and after each use.
- Assist in hosting large events, including setting up and clearing down afterward.
- Be flexible in attending and hosting events as needed.
- Manage the day-to-day operation of all nine meeting rooms.
- Produce documents, letters, and emails for other teams.
- Perform copying, scanning, and emailing of documents.
- Input data into the CRM system as required.
- Handle other administrative tasks such as web enquiries, faxes, and general email enquiries.
Skills, Experience, and Attributes of Legal Receptionist
- Experience in a Receptionist role within a professional services environment is desirable.
- Experience with general admin duties such as filing, scanning, and photocopying.
- Experience dealing with telephone enquiries and using a switchboard.
- Excellent organizational skills with the ability to prioritize effectively.
- Customer service focused.
