About the Job

To provide efficient, high-quality coordination and administration of the Group's learning and development activity, including day-to-day management of both learning management systems, Hive and Learning Pool. The role ensures training is scheduled, recorded and reported accurately and on time, so that the L&D Business Partner and L&D Compliance Trainer can focus on strategic partnering, learning design and compliance delivery. Working closely with the L&D Business Partner and L&D Compliance Trainer, the role is the first point of contact for L&D queries across all business areas, supporting a culture of continuous learning and helping the Group meet its statutory and mandatory training obligations.

Key Responsibilities
  • Act as the day-to-day administrator for Hive and Learning Pool, including user set-up, enrolments, course uploads, permissions and leaver housekeeping.
  • Maintain accurate and consistent learner records across both platforms, reconciling data between the two systems.
  • Resolve user access and system queries, escalating to system providers where required.
  • Support system updates, testing and the rollout of new courses, modules or functionality.
  • Produce user guides and support managers and employees to use the systems confidently.
  • Coordinate the end-to-end logistics of face-to-face and virtual training, including venues, trainers, equipment and resources.
  • Manage course bookings, joining instructions, attendance registers, cancellations and waiting lists.
  • Maintain the L&D training calendar across all business areas and sites.
  • Liaise with external training providers, obtaining quotes, raising purchase orders and processing invoices in line with Group procurement procedures.
  • Coordinate induction and onboarding training for new starters.
  • Working with the L&D Compliance Trainer, track completion of statutory, mandatory and role specific training against the Group's training matrix.
  • Monitor licence, certificate and qualification expiry dates and send timely reminders to employees and managers.
  • Maintain accurate training records to support internal and external audits and contract compliance requirements.
  • Produce regular reports on training completion, compliance, attendance and spend for managers, the People Team and senior leadership.
  • Collate and summarise course evaluation feedback to support continuous improvement.
  • Track L&D budget spend and maintain accurate records of training costs.
  • Ensure L&D data is accurate, secure and handled in line with UK GDPR.
  • Support the administration of apprenticeship programmes, including liaison with training providers and maintaining apprenticeship account records.
  • Support the L&D Business Partner with programme delivery, including preparing materials, communications and engagement campaigns.
  • Act as the first point of contact for L&D queries from employees and managers, including management of the L&D inbox.
  • Build effective working relationships with managers across Services, Recycle, Greenspace, Leisure and Homes.
  • Identify and implement improvements to L&D processes, reducing manual administration and duplication across systems.

  • GCSE (or equivalent) in English and Maths at grade C/4 or above.
  • Experience in an administrative or coordination role, ideally within L&D, HR or a training environment.
  • Experience of using a learning management system or similar database to manage records and produce reports.
  • Evidence of continued professional development.
  • Excellent organisational and time management skills, with the ability to manage competing priorities.
  • High level of accuracy and attention to detail.
  • Strong IT skills, including Microsoft Office (particularly Excel) and confidence learning new systems.
  • Clear and professional written and verbal communication skills.
  • Customer focused approach, with the ability to build effective relationships at all levels.
  • Ability to handle information with discretion and maintain confidentiality.
