Description

We are currently seeking a detail-oriented and proactive Facilities Supervisor to support the smooth operation and maintenance of our luxury properties, offices, and retail spaces. Reporting directly to the Head of Operations, you will play a key role in ensuring that our high standards of presentation, functionality, and safety are upheld across all sites.

This position requires a strong service mindset, excellent organisational skills, and the ability to manage multiple priorities in a fast-paced, luxury environment.

Your Opportunity

As part of the UK Kering Corporate team, this role supports the luxury brands within the Kering Division. Working closely with the Head of Operations, this role requires partnering with Kering Corporate and Houses to provide support with operational, maintenance and health and safety matters.

How you will contribute

Support with organising and delegating responsibilities in relation to the management of building services, including HVAC, electrical, plumbing, general maintenance, functionality and overall appearance; ensuring all areas meet luxury brand standards.

Manage office equipment upkeep and supplies management.

Coordinate onboarding and offboarding processes from a facilities standpoint (workplace allocation, access, IT coordination, Health & Safety).

Always ensure excellent employee and Brand experience by delivering a prompt and efficient service.

Coordinate routine and preventive maintenance, liaising with contractors and vendors.

Respond promptly to facility-related issues, escalating to the Head of Operations when necessary.

Monitor facilities ticketing systems , ensuring requests are logged, tracked, and resolved in a timely manner; compile regular reports and performance statistics to identify trends, improve response times, and support data-driven decision-making.

Assist the Facilities team and the Head of Operations, with ad-hoc assignments

Support vendor sourcing, onboarding, and performance monitoring to ensure service excellence.

Oversee the work of maintenance staff and external service providers. Ensure that all work is completed to required standards and ensure proper coverage for daily operations.

Oversee scheduling of contractors for repairs, installations, and inspections.

Maintain accurate records of compliance checks, inspections, and certifications.

Assist with health & safety audits and ensure that policies are followed across all sites.

Coordinate office moves, furniture installations, and layout changes.

Support in preparing facilities for high-profile events, visits, or launches.

Assist with obtaining quotations, reviewing proposals and tracking facilities-related expenses, purchase orders, and invoices.

Maintain asset registers, service schedules, and documentation.

Coordinate scheduling and access of contractors for repairs, installations, and inspections.

Track vendor performance and assist in the review of supplier service standards.

Support the procurement process by obtaining quotations, coordinating budget-holder approvals, and distributing purchase orders and invoices to relevant stakeholders.

Support the implementation of Health & Safety policies and procedures.

Conduct basic checks and report safety or compliance issues.

Assist in maintaining documentation, risk assessments, and emergency contact information.

Help organize fire drills, first aid training, and other compliance activities.

Who you are

Previous experience in facilities coordination or management, preferably in a luxury retail, hospitality, or corporate environment.

Strong organisational and multitasking skills, with attention to detail and quality.

Excellent communication skills, with the ability to liaise professionally with stakeholders, vendors, and senior management.

Knowledge of health and safety regulations, building systems, and maintenance practices.

Proficient in MS Office (Word, Excel, Outlook); experience with facilities management software is a plus.

A proactive, service-driven attitude, with flexibility to support occasional after-hours or weekend requirements.
