Job summary

Citygate Automotive Ltd. is seeking an IT Onboarding Specialist to lead the end-to-end onboarding, offboarding and lifecycle changes for staff across critical systems. You will ensure new starters receive equipment and access, while leavers have access removed promptly and securely.

You will collaborate with HR, managers and IT to coordinate provisioning, system permissions and asset tracking, while supporting audits and maintaining compliance with data protection standards and internal policies.

Job description

Role Overview

We are looking for an IT Onboarding Specialist to join our team and play a key role in ensuring colleagues have everything they need to succeed from day one. You will manage the end-to-end onboarding, offboarding and employee lifecycle changes across key business systems, ensuring new starters have the appropriate equipment, system access and resources in place before they begin, while leavers have all access removed promptly and securely.

Working closely with managers, HR, Heads of Business and IT teams, you will coordinate user access, equipment provisioning and system administration across multiple departments. You will help deliver a seamless colleague experience, improve speed to competency, maintain data integrity and security, support compliance with company policies, and continuously improve onboarding processes to reduce administrative effort and improve operational efficiency.

Key Responsibilities

As the IT Onboarding Specialist, your key responsibilities will include:

• Manage the end-to-end IT onboarding and offboarding process, ensuring new starters have the correct equipment, user accounts, system access and resources available from day one, while leavers have all access removed promptly and securely.
• Coordinate with hiring managers, HR, Heads of Business and IT teams to ensure all onboarding, offboarding and employee lifecycle activities are completed accurately and within agreed timescales.
• Provision, update and remove user accounts, system permissions and access across key business applications, CRM platforms and operational systems in line with company policies and security standards.
• Manage system access changes for employees moving roles, departments or locations, ensuring permissions remain appropriate and aligned with business requirements.
• Procure, configure, allocate and track IT equipment, maintaining accurate asset records throughout the employee lifecycle.
• Maintain accurate documentation and records relating to user accounts, IT assets, software licences, access permissions and onboarding activities.
• Carry out regular system access reviews and data cleansing activities to ensure information remains accurate, compliant and secure.
• Act as the key point of contact for managers and colleagues regarding onboarding, system access and IT administration queries.
• Work closely with HR, IT and Compliance teams to support internal audits and ensure adherence to data protection requirements, security standards and best practices.
• Maintain clear and documented onboarding and offboarding procedures, identifying opportunities to improve processes, introduce automation and enhance the colleague experience.
• Monitor service levels, identify process bottlenecks and support continuous improvements across the IT onboarding journey.
