Job summary

Air Charter Service seeks an experienced International Facilities Project Manager to lead complex workplace projects across our global offices. You will manage relocations, fit-outs and refurbishments from concept to completion, ensuring delivery on time, within budget and to high standards.

Reporting to the Head of Facilities, the role involves coordinating IT, Legal, HR and Finance teams, ensuring health and safety compliance, and supporting business continuity.

Qualifications

  • Proven experience as a properties / facilities manager is essential.
  • Experience delivering office refurbishments, fit-outs and relocations from planning to completion.
  • Proven project management experience, managing multiple projects simultaneously.
  • Experience managing budgets, procurement and supplier negotiations.
  • Strong understanding of Health & Safety requirements.
  • Willing to travel regularly to international ACS offices.
  • Flexible to work outside normal business hours when required.

Responsibilities

  • Manage end-to-end office relocation, expansion, and fit-out projects globally.
  • Source and secure new office locations (leased and serviced) including lease coordination.
  • Lead internal project teams and liaise with suppliers and local admin teams.
  • Conduct international site visits (3 per project) including pre-fit out, fit-out supervision and snagging.
  • Oversee security systems, access control, and maintenance contracts.
  • Support office operations including reception, utilities, carbon reporting and business continuity.
  • Assist in procurement, budget preparation, and vendor negotiations for facilities services.
  • Coordinate ISO premises audits and GDPR compliance.

International Facilities Project Manager

  • Compensation: GBP 45,000 - GBP 50,000 - yearly

We're looking for an experienced, highly organised Facilities Project Manager to lead the successful delivery of a diverse portfolio of workplace projects across our global offices. From office relocations and fit-out projects to refurbishments, space planning and workplace improvements, you'll oversee projects from concept through to completion, ensuring they are delivered on time, within budget and to the highest standards.

Reporting to the Head of Facilities, this fast-paced, varied role involves managing office fit-outs, relocations, and ongoing facilities operations, ensuring compliance with health & safety regulations and supporting the business continuity strategy.

Duties will include but are not limited to:

  • Manage end-to-end office relocation, expansion, and fit-out projects globally
  • Source and secure new office locations (leased and serviced), including lease coordination
  • Lead internal project teams (IT, Legal, HR, Finance) and liaise with suppliers and local admin teams
  • Conduct international site visits (3 per project), including pre-fit out, fit-out supervision, and final snagging
  • Ensure globalhealth & safety compliance, including fire safety and first aid procedures
  • Oversee security systems, access control, PPM schedules, and maintenance contracts
  • Support London office operations: reception cover, utilities, carbon reporting, and business continuity plans
  • Assist in procurement, budget preparation, and vendor negotiations for facilities services
  • Coordinate ISO premises audits, GDPR compliance (CCTV), and maintain risk assessments and legal registers
  • Provide ad-hoc support to the wider facilities team both in HQ and globally
  • Proven experience as a properties / facilities manager is essential
  • Strong experience delivering office refurbishments, fit-outs and relocations from planning to completion.
  • Proven project management experience, managing multiple projects simultaneously.
  • Experience managing budgets, procurement and supplier negotiations.
  • Highly organised with excellent planning and prioritisation skills.
  • Excellent communication skills with the confidence to manage contractors, landlords, suppliers and key stakeholders.
  • Strong understanding of Health & Safety requirements.
  • Experience managing planned and reactive maintenance.
  • Proactive problem solver with the ability to work independently and use initiative.
  • Friendly, resilient and adaptable, with a collaborative approach.
  • Highly motivated with a strong sense of ownership and urgency.
  • Flexible to work outside normal business hours when required.
  • Willing to travel regularly to international ACS offices.
  • 22days annual leave (increasing to 25 after 1years service & with length of service)
