Job summary

Trapeze Recruitment Services Ltd invites applications for an Export Sales Administrator to support international sales activities. You will handle enquiries, quotations and orders from initial contact through to delivery, coordinating with customers, distributors and internal teams across production and logistics.

The role requires attention to detail and knowledge of international trade documentation, with exposure to SAP and export processes.

Qualifications

• Experience in sales/export administration.
• Knowledge of international trade and documentation.
• Experience in manufacturing, distribution or international trading environment.
• Strong administrative and organisational skills.
• Excellent attention to detail and accuracy.
• Confident professional written, email and telephone communication.
• Experience with SAP or a comparable ERP system.
• Experience with ISO 9001 or another Quality Management System.

Responsibilities

• Process international enquiries, quotations and sales orders accurately using SAP (CRM / Accounting System).
• Prepare comprehensive export quotations with Incoterms, freight, insurance, packing, documentation and charges.
• Obtain and compare freight and courier quotations.
• Confirm payment terms, credit arrangements, order acknowledgements, lead times and dispatch information with customers.
• Proactively follow up quotations, orders and customer enquiries.
• Coordinate international shipments with freight forwarders, couriers and customers.
• Prepare and check export documents including Certificates of Origin, EUR1/ATR and origin declarations.
• Ensure correct commodity/tariff codes, country of origin information and VAT treatment are applied.
• Obtain and retain Proof of Export documentation.
• Understand and comply with country-specific shipping, documentation and import/export requirements.
• Liaise with production, purchasing, warehouse, quality and accounts to confirm availability and status.
• Maintain accurate customer and distributor information within SAP.
