Job summary

Leeds University Union (LUU) is seeking a proactive Internal Communications Administrator (Student) to support staff with weekly updates across channels. You will gather content, prepare summaries and keep information organized and accessible for both desk-based and non-desk-based staff.

You will help draft and format communications, coordinate across teams and monitor simple metrics while meeting regular deadlines. This is a 12-month fixed-term, part-time role ideal for a university student.

Qualifications

  • Experience writing or editing clear content such as emails, newsletters or web copy.
  • Strong organisation and time management with the ability to meet deadlines.
  • Attention to detail and ability to follow templates and approval routes.
  • Inclusive, accessible and jargon-free communication.
  • Ability to tailor messages for different audiences and channels.
  • Proficiency with Microsoft 365 tools (Outlook, Teams, SharePoint, Word, PowerPoint).
  • Experience with Mailchimp and Canva is helpful but not required.

Responsibilities

  • Maintain the weekly internal communications schedule with drafting, review and distribution deadlines.
  • Coordinate content collection across the Comms Champion Network.
  • Draft, edit and format weekly issues of The LUU Insider.
  • Create short summaries for Viva Engage, Staff Savvy and staff noticeboards.
  • Prepare printable summaries for frontline staff.
  • Support SharePoint archiving to allow revisiting newsletters and updates.
  • Assist with Weekly Huddle priorities and follow-up notes.
  • Track simple metrics like open rates, link clicks and staff feedback themes.
  • Escalate sensitive content to the Marketing & Communications Manager when needed.

We are looking for a proactive and organised student to support our internal communications, helping staff across the Union feel informed, engaged and connected to LUU’s mission and strategy.

This is a great opportunity for a current student who enjoys writing clear content, working with people and keeping things organised. You will help coordinate, create and distribute weekly internal communications across multiple channels. making it ideal for someone who can work independently, meet deadlines and turn information from different teams into friendly, useful updates for staff.

About the role

As the Internal Communications Administrator (Student), you will support the delivery of LUU’s internal communications plan by helping gather content, prepare weekly updates and keep our communications organised and accessible for both desk-based and non-desk-based staff.

You’ll be responsible for:

  • Maintaining the weekly internal communications schedule, including submission, drafting, review, sign-off and distribution deadlines.
  • Coordinating content collection across the Comms Champion Network.
  • Drafting, editing and formatting weekly issues of The LUU Insider using the agreed structure and tone.
  • Creating short, accessible summaries for Viva Engage, Staff Savvy and staff noticeboards.
  • Preparing printable noticeboard summaries so key updates are easy for frontline and shift-based staff to find.
  • Supporting SharePoint archiving so staff can revisit previous newsletters and key updates.
  • Helping with Weekly Huddle priorities, actions and follow-up notes where required.
  • Tracking simple measures such as newsletter open rates, link clicks, Viva Engage interactions and staff feedback themes.
  • Escalating sensitive, urgent or policy-related content to the Marketing & Communications Manager or relevant reviewer.

About you

We are looking for a current student who is organised, approachable and confident turning information into clear, inclusive updates. You do not need to be an internal communications expert, but you should be comfortable writing for a defined audience and working to a regular deadline.

You’ll need:

  • Experience writing or editing clear content, such as emails, newsletters, web copy, blogs, social posts or student society communications.
  • Strong organisation and time management, with the ability to work independently within a 10-hour weekly role.
  • Good attention to detail and confidence following templates, processes and approval routes.
  • A friendly, collaborative approach and willingness to ask colleagues for information or clarification.
  • An understanding of inclusive, accessible and jargon-free communication.
  • The ability to adapt messages for different audiences and channels, including non-desk-based staff.
  • Confidence using Microsoft 365 tools such as Outlook, Teams, SharePoint, Word, PowerPoint

Experience with Mailchimp and Canva, basic design/layout, performance data or students’ union environments would be helpful, but is not essential.
