Job summary

HR Heads is seeking an HR Administrator for a fixed-term contract (10-12 months) to join a busy HR team. The role covers HR operations, recruitment coordination, onboarding support and wider employee administration across the lifecycle.

It suits an organised, proactive self-starter who thrives in a collaborative environment. The role involves supporting payroll, benefits and general office administration, with some flexibility for a future hybrid arrangement.

Responsibilities

  • HR and recruitment administration including inbox management and candidate enquiries
  • Coordinate end-to-end recruitment admin and onboarding
  • Prepare offer letters and contracts, onboarding documentation
  • Conduct Right to Work checks and maintain recruitment records
  • Support inductions and onboarding for new starters
  • Draft employee correspondence (probation, promotions, changes)
  • Assist lifecycle administration (leavers, references)
  • Maintain HR systems, trackers and personnel records
  • Support process documentation and improvements
  • Payroll administration support and benefits coordination
  • Support meetings, events, travel logistics, and office operations

HR Administrator (Fixed Term Contract - 10-12 Months)

Are you an experienced HR Administrator who thrives in a fast-paced environment and enjoys being at the heart of a business?

We're supporting the appointment of an organised, proactive and people-focused HR Administrator to join a collaborative HR team on a fixed-term basis, covering maternity leave. This is an excellent opportunity to gain broad exposure across HR operations, recruitment, onboarding, payroll support and employee administration within a well-established and growing organisation.

This role would suit someone who enjoys taking ownership, can confidently manage multiple priorities and is comfortable building relationships across all levels of a business. Previous HR administration experience is essential.

The Opportunity

Reporting into the HR Operations & Reward Partner, you'll play a key role in ensuring the smooth running of day-to-day HR activities whilst supporting employees, managers and candidates throughout the employee lifecycle. The role combines traditional HR administration with recruitment coordination, onboarding support and wider business administration responsibilities.

For candidates with broader office administration and reception experience, there is also the opportunity to support front-of-house activities and wider office operations. Where a candidate's strengths lie primarily in HR administration, additional support will be provided to cover reception responsibilities.

Key Responsibilities:
HR & Recruitment Administration
  • Managing HR and recruitment inboxes and responding to employee and candidate enquiries
  • Supporting end-to-end recruitment administration, including interview coordination and candidate communication
  • Preparing offer letters, contracts and onboarding documentation
  • Conducting Right to Work checks and maintaining recruitment records
  • Supporting inductions and onboarding activity for new starters
  • Drafting employee correspondence including probation, promotion and employment change letters
  • Supporting employee lifecycle administration, including leavers and reference requests
  • Maintaining HR systems, trackers and personnel records
  • Assisting with process documentation and continuous improvement initiatives
Payroll & Benefits Support
  • Assisting with monthly payroll administration
  • Supporting pension administration and benefits processes
  • Responding to employee queries relating to payroll and benefits
  • Assisting with HR reporting and compliance activities
Business & Office Support
  • Supporting internal meetings, events and employee engagement activities
  • Coordinating travel arrangements and meeting logistics
  • Assisting with office administration, supplies and visitor management where required
About You

We're looking for someone who is:

  • Experienced within an HR Administration role
  • A self-starter who can work independently and take ownership
  • Highly organised with excellent attention to detail
  • Confident managing multiple priorities and deadlines
  • Comfortable handling confidential information with discretion
  • A strong communicator who can build positive relationships across a business
  • Calm under pressure and adaptable to changing priorities
  • Proficient in Microsoft Office, particularly Outlook, Word and Excel
  • Experienced using HR systems and databases would be advantageous

Working Arrangements

The role has traditionally operated on an 8:00am - 4:00pm schedule due to front-of-house requirements.

Candidates undertaking both HR and reception responsibilities will be required to work five days per week in the office. For candidates focused primarily on HR administration, there may be scope for one day per week working from home following a successful induction period and once fully established in the role.
