Job summary

Heriot-Watt University is seeking an HR Shared Operations Consultant to support the employee lifecycle across academic and professional services areas. You will draft contracts, manage Right to Work processes, ensure data integrity in the ERP system and assist with visa applications, leave entitlements and term changes.

You will act as a first point of contact for HR queries, collaborate with Recruitment and Payroll, and help document processes while working closely with the wider HR team.

Qualifications

• Educated to SCQF Level 6 or equivalent experience.
• Considerable experience in a similar role with varied terms and conditions.
• Experience with UKVI Immigration and Visa requirements.
• Competent in Microsoft Office suite including Teams, SharePoint, OneNote, Outlook and Excel.
• Strong interpersonal and communication skills.
• Ability to work quickly, flexibly and accurately under pressure.
• Ability to convey information to non-technical audiences.

Responsibilities

• Draft and issue contracts for permanent and temporary staff using templates.
• Provide immigration and Right to Work support and onboarding assistance.
• Ensure pay and contract data are accurately entered in ERP system with payroll deadlines.
• Assist with Skilled Worker and Global Talent Visa applications and verify visa expiry dates.
• Advise on family leave entitlement and monitor contract end dates.
• Serve as first point of contact for HR queries via phone, email, or in person.
• Provide guidance on contractual queries including annual leave and sickness absence.
• Gather and interpret data from multiple university systems for stakeholders.
