Job summary

Heriot-Watt University is seeking an HR Shared Operations Consultant to manage contracts, onboarding and immigration support across departments. The role collaborates with Payroll, Recruitment and the wider Employee Relations team to ensure accurate data and timely processes.

This 6-month fixed-term post offers a Grade 5 salary, hybrid working (2/3 days home), and a busy environment with tight deadlines. Experience with UKVI, Microsoft Office and data reconciliation is expected.

Qualifications

• Educated to SCQF Level 6 or similar or equivalent experience.
• Experience in a similar role with varied terms and conditions.
• Experience with UKVI Immigration and Visa requirements.
• Competent in Microsoft Office applications including Teams, SharePoint, OneNote, Outlook and Excel.
• Excellent interpersonal, written and oral communication skills.
• Ability to explain information clearly to non-technical audiences.
• Attention to detail and confidentiality when handling sensitive data.

Responsibilities

• Draft and issue contracts across departments using templates.
• Provide onboarding and immigration support including Right to Work.
• Enter pay and contract data into ERP system in line with payroll deadlines.
• Assist with visa applications and monitor expiry dates.
• Calculate and advise on family leave entitlement.
• Monitor contract end dates and update terms using templates.
• Serve as first point of contact for HR inquiries via phone, email, or in person.
• Provide guidance on contractual queries and leave.
