Job summary

Qualifications

About the role:

We are seeking an experienced and proactive HR Assistant to join our busy Human Resources team. Reporting to the Human Resources Manager, the successful candidate will play a key role in supporting the delivery of an efficient and professional HR and Payroll service across the business.

The role involves providing comprehensive administrative support across the full employee lifecycle, including recruitment, onboarding, payroll administration, employee records management, training coordination and employee relations support. The postholder will be required to maintain the highest standards of confidentiality whilst ensuring compliance with company policies, employment legislation and GDPR requirements.

Role & Responsibilities – key outputs :

HR Administration

  • Provide comprehensive administrative support to the Human Resources Manager and wider business.
  • Maintain and update employee records, ensuring all information is accurate, up to date and compliant with GDPR.
  • Prepare employment contracts, offer letters, amendment letters and other employment documentation.
  • Manage HR system records, including new starters, leavers, contractual changes and employee data updates.
  • Monitor and maintain absence, holiday and attendance records.
  • Respond to employee queries in a professional and timely manner.
  • Support HR projects and initiatives as required.

Payroll Administration

  • Prepare and process monthly payroll information for submission to the payroll provider.
  • Ensure payroll changes, including new starters, leavers, salary amendments, benefits and deductions, are processed accurately and within deadlines.
  • Reconcile payroll reports and assist with payroll audits and reporting.
  • Support the administration of employee benefits, pension schemes and salary sacrifice arrangements.
  • Act as the first point of contact for payroll-related queries from employees.

Recruitment and Onboarding

  • Coordinate recruitment activities, including advertising vacancies, screening applications, arranging interviews and liaising with candidates.
  • Support hiring managers throughout the recruitment process.
  • Prepare offer documentation and ensure all pre-employment checks are completed.
  • Coordinate induction programmes and onboarding activities for new employees.
  • Assist with the administration of probationary review processes.

Learning and Development

  • Coordinate training activities and maintain training records.
  • Assist in the creation and administration of training materials and e-learning modules.
  • Monitor mandatory training completion and produce management reports.
  • Support the delivery of employee development initiatives.

Employee Relations and Compliance

  • Assist with disciplinary, grievance, absence management and performance management administration.
  • Ensure HR policies and procedures are communicated and applied consistently.
  • Produce HR reports and management information as required.
  • Support compliance with employment legislation and company policies.
  • Maintain confidentiality and professionalism when dealing with sensitive employee information.

Knowledge and Skills

Essential Experience

  • Minimum of 3 years’ experience within a Human Resources or Payroll Administration role.
  • Experience of maintaining HR and payroll systems.
  • Experience supporting recruitment, onboarding and employee lifecycle administration.
  • Experience handling confidential employee information.
