Job summary

The Optoma Group in the United Kingdom is seeking an HR Administrator to deliver first-line HR support and administration across the employee lifecycle. You will handle data, payroll inputs, recruitment, onboarding, and leaver processes with strict confidentiality and a proactive approach.

Qualifications

  • Ability to manage workload effectively to meet tight deadlines.
  • Experience in an HR support or administration role.
  • Excellent organisational skills with the ability to prioritise important projects.
  • Excellent communication skills.
  • Competent in using Microsoft tools including Word, Excel, PowerPoint, Outlook and SharePoint.
  • Familiarity with AI tools (Co-Pilot, ChatGPT, Canva, Midjourney) and willingness to learn more.
  • Excellent written and spoken English.
  • High attention to detail.
  • Basic understanding of UK Employment Law and best practice.
  • Experience handling confidential and sensitive data.
  • Desirable: experience supporting a multinational company.
  • Experience using HR software or HRIS, with ability to learn new systems quickly.
  • Fluent in a second language.
  • CIPD qualified or working towards certification.

Responsibilities

  • Maintain accurate and up-to-date employee records on HR systems and identify data quality improvements.
  • Provide HR administration for the employment lifecycle including starters, leavers and changes to terms.
  • Manage end-to-end recruitment: job adverts, interviews, liaising with candidates and agencies.
  • Administer monthly payroll instructions accurately and timely.
  • Oversee onboarding: contracts, pre-employment packs, references and inductions.
  • Handle leaver processes and HR reporting for management decisions.
  • Maintain knowledge of employee benefit programs and advise staff.
  • Ensure compliance with employment law across EMEA and confidentiality in all matters.
  • Support HR in absence, maternity/paternity and other leave management.
  • Prepare management information and reports to support decisions.
  • Assist with ad hoc HR projects and maintain standards across processes.
  • Provide guidance on non-complex HR issues.
  • Uphold ISO 27001/ISO 14001 aligned policies and training awareness.

About the role

The role of HR Administrator is acting as first line contact on HR matters ensuring successful delivery of HR Support and Administration. Aligned to business functions the role will support HR in both day to day and project activity. This is a key role requiring commitment, initiative, confidentiality and a proactive approach.

Key Responsibilities
  • Maintain accurate and up-to-date employee records on company HR systems while proactively identifying opportunities to improve data quality, processes and ways of working
  • Provide an effective HR administration service relating to the employment lifecycle including starters, leavers and changes to terms and conditions
  • Manage the end-to-end recruitment process including posting job adverts, scheduling interviews and
    liaising with candidates and recruitment agencies
  • Manage administration of monthly payroll ensuring that all payroll instructions are prepared and logged accurately and in a timely manner
  • Responsible for managing the onboarding process for new starters; preparing employment contracts, pre-employment packs, reference requests and carrying out new starter inductions
  • Administration of leaver process
  • Maintain comprehensive knowledge of employee benefit programs to accurately administer, process changes, and provide informed advice to staff.
  • Ensure continuous personal development by keeping up-to-date with employment law across EMEA regions
  • Support colleagues in managing absence, maternity, paternity, special leave requests, occupational health referrals etc
  • Ensure the provision of accurate advice and guidance to all stakeholders as defined in company HR policies, processes and procedures within EMEA region
  • Responsible for accurate preparation and timely preparation of management information and
    reports to support decision-making processes
  • Support the HR team with ad hoc projects, taking ownership of agreed actions and following up proactively to ensure progress
  • Advise on non-complex HR related issues
  • Maintain a high level of confidentiality in relation to all HR matters
  • Support HR in employee relations matters, taking notes at formal meetings, investigations and hearings
  • Carry out general administration tasks for the HR Department, such as; devising standard HR documents and letters and manage the HR and recruitment inboxes
  • Carry out data processing and analysis tasks requiring the use of excel e.g. pivot tables, formulas, etc.
  • Comply with the company's ISO 27001 and ISO 14001-aligned information security and environmental management policies, participate in awareness and training activities, and report any incidents or concerns.
