Job description

Role: Health and Safety Administrator

Location: Bedford College - Cauldwell Street Campus

Salary/Benefits: Salary is between £24,552 and £26,754 per annum DOE and Qualifications, 27 days annual leave plus Bank holidays, People's Pension, Retail and Leisure Discounts, excellent professional and personal development opportunities, accessing college courses.

Hours/Weeks: 37 hours per week - 52 weeks per year

Contract Type: Permanent - Full Time

About the role:

We are currently seeking a Health and Safety Administrator to join our Health and Safety department at The Bedford College Group.

  • Health & Safety Administration & Coordination - Provide comprehensive administrative support to the Health and Safety team, managing enquiries, inboxes, diaries, meetings, correspondence, reports and documentation to ensure the efficient operation of the service.
  • Compliance Systems & Data Management - Maintain and monitor health and safety systems and databases, including Smartlog, I-Trent and accident reporting records, ensuring data accuracy, compliance monitoring, account management and timely reporting of concerns.
  • Health & Safety Support & Record Keeping - Assist with audits, inspections, accident reviews, training activities, visit and trip processes, and the preparation of statistical reports, minutes and management information to support organisational compliance and performance.
  • Resource, Equipment & Process Administration - Manage first aid equipment stocks, first aider records, DSE claims, Lone Worker Monitoring (LMT) handsets, and other operational processes, ensuring records are accurate and services are delivered effectively.
  • Professional Standards & College Responsibilities - Support activities across multiple campuses, participate in College events and compliance activities, and promote safeguarding, equality, diversity and inclusion, health and safety, and continuous professional development in line with College policies and values.
About you:
  • Qualifications & Technical Proficiency - Holds Level 2 qualifications in IT, English and Maths, with strong proficiency in Microsoft Office applications and the ability to produce professional reports, correspondence and business documents.
  • Administration, Data Management & Analytical Skills - Experienced in managing data accurately, producing reports, maintaining records, analysing information, and supporting administrative processes through excellent organisational and attention-to-detail skills.
  • Communication, Customer Service & Relationship Building - Demonstrates excellent verbal and written communication skills, works effectively with diverse stakeholders, provides high-quality customer service, and builds positive professional relationships at all levels.
  • Professionalism, Organisation & Performance - Able to prioritise workloads, work independently or collaboratively, handle confidential information appropriately, adapt to changing demands, and consistently deliver high standards of performance.
