Job description

We are looking for an enthusiastic and organised Head of Business Support, based in one of our UK regional offices to lead our business support team. This team includes our Personal Assistants, Office Managers and Administrators.

You would also lead on our Technical Training Academy, ensuring that the delivery of our Technical Training is organised in an efficient manner, liaising with our Technical Community and our Learning and Development Team in our People Hub in India.

As Head of Business Support, you will be responsible for a team of professionals who are performing an array of administrative tasks requiring confidentiality, initiative and sound decision making. You will need the ability to interact with staff at all levels in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient.You should demonstrate experience in managing dispersed teams ensuring efficient support to the business.

Your Purpose:

Essential Duties and responsibility include the following: (Other duties may be assigned).

  • Leading a team of experienced professionals who are geographically dispersed ensuring that peaks of workload are dealt with in an efficient manner.
  • Ensuring consistency of approach is applied across all aspects of the support service and driving continuous improvement initiatives.
  • Planning suitable cover for leave including holidays and sickness absence.
  • Supporting with the continued professionalism of the team including setting suitable objectives and development plans.
  • Compiling and preparing monthly and quarterly reports, spreadsheets, presentations, packs, and correspondence.
  • Organising corporate events including client entertainment and other activities.
  • Monitoring and reporting on mandatory processes and other group requirements.
  • Responsible for governance meeting administration incl. preparation of agenda, papers & minutes.
  • Lead on the administration of our Technical Training Academy working with the Technical Community and the People Hub in Bangalore to anticipate and manage technical training delivery.
  • Build and maintain relationships globally, including the senior management teams and their respective EAs/PAs.

Skill Requirements:

  • Experience of People Management across multiple locations.
  • Strategic planning of resources.
  • Ability to work autonomously and take initiative to improve efficiency of all processes.
  • Experience of compiling reports, agendas and organising minutes.
  • Understanding of all key business areas i.e.: risk management, business finance, marketing, HR, customer management, governance.
  • Able to work well under pressure and do complex problem solving, while managing multiple conflicting priorities.
  • Professional and confident approach.
  • Can be trusted to always maintain confidentiality.
  • Flexible, approachable, and willing to pitch in with all tasks and step away from routine when the pressure is on.
  • Detailed knowledge of Microsoft Suite (Outlook, Excel, Word, PowerPoint, SharePoint, and MS Teams).
  • Good time management skills with ability to work to deadlines.
  • Relevant experience in supporting senior executives and liaising with colleagues across multiple time zones.
