Job summary

Work as part of the Outpatients Department, providing an efficient administrative and outpatient reception service, including the Early Pregnancy Unit.

Booking diagnostic appointments on Soliton.

Recording all outpatient attendances (cashing-up) on Cerner.

Booking follow-up appointments and discharging patients back to the GP.

Filing documents according to Information Governance policy.

Communicating with patients, visitors, and staff professionally and courteously.

Using all available communication methods effectively.

Maintaining an uncluttered, tidy, hygienic, and sanitary reception area, including cleaning surfaces.

Supporting Managers and Supervisors in developing a patient-focused service.

Main duties of the job
  1. Complete appointment outcomes, such as booking follow-ups and discharges, within stipulated timeframes.
  2. Analyse patient pathways versus outcomes; escalate issues to relevant staff for earlier appointments or diagnostics to meet RTT targets.
  3. Record outpatient attendances, DNAs, and cancellations on Cerner promptly to ensure proper funding.
  4. Ensure all patient information is accurate and up-to-date on Cerner, investigating discrepancies.
  5. Follow processes for audit forms, walk-in patients, booking interpreters, and transport in line with Trust standards.
  6. Use excellent communication and interpersonal skills with patients, carers, visitors, and staff.
  7. Be a calm, flexible, and supportive team member.
  8. Handle enquiries professionally and respond firmly to antisocial behavior, reporting verbal abuse as necessary.

Person Specification

Education/Qualifications (Essential): NVQ Level 3 or equivalent, GCSE English.

Desirable: First aid, Fire Marshal training.

Knowledge and Experience (Essential): Customer service, administrative work, adaptable to change without supervision.

Desirable: Cerner/NHS experience, reception experience.
