Job description

Group Fleet Manager

Lead the transformation of Vital Energi s fleet operation

Vital Energi are excited to announce that we're looking for a Group Fleet Manager to lead the development and delivery of a safe, compliant, cost-effective and increasingly strategic fleet service across the company.

The role will take ownership of the full vehicle lifecycle and will transform the current operating model from largely manual administration into a controlled, data-led and digitally enabled function that supports operational performance, employee experience and future business growth.

Working closely with People & HR, Finance, Payroll, Procurement, HSE, ESG teams and external suppliers, the Fleet Manager will lead fleet governance, systems, compliance and reporting. The role is responsible for delivering accurate fleet data, optimising vehicle utilisation and whole-life costs, managing risk and environmental performance, and ensuring accurate BIK and P11D reporting. The Fleet Manager will also support sustainability objectives by providing fleet emissions data and driving initiatives to reduce the organisation's carbon footprint.

This is an exciting opportunity to lead fleet transformation, optimise performance and support the continued growth of one of the UK's leading energy solutions businesses.

The Role:

  • Own, develop and implement the Company's fleet strategy, ensuring alignment with business growth, operational requirements, employee needs, financial objectives, safety priorities and ESG commitments.
  • Lead the selection, implementation and continuous improvement of an appropriate fleet management system, creating a reliable single source of truth for vehicles, drivers, costs, compliance and environmental data
  • Lead day-to-day and strategic relationships with leasing companies, vehicle manufacturers or dealers, maintenance providers, insurers, accident-management providers, fuel and charging suppliers, telematics providers, hire companies and fleet-system vendors.
  • Create and maintain a planned fleet roadmap covering replacement cycles, electrification, funding and lease options, vehicle standards, technology, supplier strategy and future capability requirements.
  • Identify emerging fleet risks, legislative or tax changes, market developments and operational requirements, and translate these into proportionate business actions.
  • Manage the full vehicle lifecycle, including requirements assessment, ordering, allocation, delivery, in-life changes, maintenance, repair, replacement and disposal or return.
  • Develop a clear target operating model for fleet, including governance, decision rights, service standards, controls, roles and accountabilities across People & HR, Finance, Payroll, Procurement, Health & Safety and operational teams.
  • Establish a structured programme of fleet improvement, prioritised according to business value, risk, employee impact and deliverability.
  • Develop, maintain and embed fleet policies, procedures and guidance, ensuring they remain practical, consistent and appropriately controlled.
  • Provide expert fleet advice and recommendations to senior leaders, supported by robust data, risk assessment and commercial analysis.
  • Maintain the vehicle and employee data required for P11D, P11D(b), benefit-in-kind and Class 1A National Insurance reporting, including allocation dates, availability, vehicle list price, accessories, fuel type, CO2 emissions and relevant employee contributions.
  • Own the quality, completeness and traceability of fleet data required for the Company's ESG and greenhouse gas reporting.
  • Measure and report relevant Scope 1 emissions from fuel consumed by vehicles owned or controlled by the Company, applying the agreed organisational boundary and reporting methodology.
  • Develop and manage the fleet budget and forecast, working with Finance to improve cost visibility, accruals, coding, allocation and financial control.
  • Create a complete view of whole-life fleet cost, including lease or ownership costs, depreciation where relevant, maintenance, fuel or electricity, insurance, tax, hire, damage, fines administration and end-of-contract charges.

The Person

  • Proven experience in fleet management, transport operations, or a similar role managing a multi-site vehicle fleet.
  • Experience developing fleet strategy, governance, policies and operational controls.
  • Successful portfolio implementing or materially improving a fleet management system and digitising or automating manual processes.
  • Confident managing fleet-related payroll, BIK, and P11D data requirements.
  • Relevant fleet, transport, procurement, finance, tax, sustainability or management qualification desirable.
  • A recognised fleet-management qualification or membership of an appropriate professional body desirable.
  • Full UK driving licence, subject to the requirements of the role.
