Job summary

Via in London is recruiting a Graduate Operations & Events Coordinator to support the Operations and Events team with day-to-day administration and coordination of premium hospitality experiences at major sporting events.

Recent graduates with some administration or office experience will thrive in this role, gaining exposure to tickets, guest information, travel arrangements, venue coordination and post-event feedback. This is an office-based, full-time role based at London Victoria.

Qualifications

  • A university degree or equivalent experience.
  • Some previous administration, coordination or office experience
  • Strong organisation and attention to detail
  • Confidence using Microsoft Office, particularly Outlook, Word and Excel
  • Good written and verbal communication skills
  • The ability to manage multiple tasks and deadlines
  • Confidence speaking with customers, suppliers and colleagues
  • A proactive approach and willingness to take responsibility
  • Good problem-solving skills
  • The ability to stay organised when things get busy
  • An interest in events, hospitality or sport
  • Availability to work from the London Victoria office Monday to Friday
  • Flexibility to attend events and occasionally travel when required

Responsibilities

  • Provide day-to-day administrative support to the Operations and Events team
  • Help coordinate upcoming sporting events and hospitality experiences
  • Maintain accurate guest, booking and event information
  • Liaise with venues and event managers about guest requirements and special requests
  • Coordinate ticket distribution and make sure customer details are accurate
  • Help prepare tickets, event information and other materials for clients
  • Update spreadsheets, CRM records and internal systems
  • Maintain table plans and track availability for hospitality events
  • Coordinate hostess bookings, staff passes, travel and accommodation
  • Help prepare presentations and event information for the Sales team
  • Support pre-event briefings and post-event debriefs
  • Collect and organise customer feedback following events
  • Assist with the production of event materials and collateral
  • Liaise with Finance to make sure payments and ticket dispatch are aligned
  • Attend selected events and help ensure everything runs smoothly on the day
  • Work closely with Sales, Marketing, Finance and other internal teams
  • Identify simple ways to improve administrative and event processes

About the opportunity

Via is partnering with a premium sports hospitality business to recruit a Graduate Operations & Events Coordinator for its London team.

This is an excellent opportunity for a recent graduate with some administration, coordination or customer-facing experience who wants to start a career in events and operations.

You'll help deliver premium hospitality experiences at some of the UK's biggest sporting events, including Formula 1, Wimbledon, Royal Ascot, Six Nations and Premier League football.

Previous professional events experience isn't required. We're more interested in someone who is highly organised, confident communicating with different people and has gained some practical administrative experience through a part-time job, internship, placement year, temporary role or their first position after university.

You'll support everything from tickets, guest information and event materials to travel arrangements, venue coordination and post-event feedback, giving you broad exposure to how major hospitality events are delivered.

What we're looking for

This role is particularly suited to a graduate or early-career candidate looking to build experience within events and operations.

You'll ideally have:

  • A university degree or equivalent experience
  • Some previous administration, coordination or office experience

Your previous experience could come from an internship, placement year, university role, temporary admin position, reception, office administration, customer service, hospitality, events administration or similar work.
