Job summary

VIA MATCH LIMITED is recruiting an Operations and Events Coordinator to support premium hospitality experiences at major events. Based in London Victoria, you will plan, deliver and improve guest services across venues, with occasional travel.

You’ll work closely with operations, sales and finance, liaising with venue teams, handling guest details and post-event feedback. Strong organisation and communication are essential.

Qualifications

  • Experience in event management or operations is desirable; reception/backgrounds welcome.
  • 12-18 months' relevant experience; 3 years' operations/events may be considered higher.
  • Proactive, self-starting attitude with strong communication and organisational skills.
  • Comfortable with Microsoft Office and digital tools.

Responsibilities

  • Liaise with venue and event managers to capture guest requests promptly.
  • Identify opportunities to enhance customer service, CRM practices.
  • Attend events, ensuring seamless client delivery.
  • Deliver presentations to the sales team and run pre/post-event debriefs.
  • Collect and analyse post-event feedback for improvements.
  • Oversee design and production of event materials with the team and designers.
  • Coordinate ticket dispatch and collate client data.
  • Manage hostess bookings, passes, travel and accommodation.
  • Update table plans to track stock and sales; liaise with venues.
  • Work with Accounts to align payments with event delivery.
  • Support and mentor a junior team member.

Operations and Events Coordinator £28,000 - £30,000 p/a | On-Site | London Victoria, SW1E 6AE

We're recruiting on behalf of a leading provider of premium hospitality experiences at major sporting and cultural events — think Formula 1, Royal Ascot, Wimbledon, Six Nations, and Premier League football. Our client creates bespoke, high-end packages and operates an exclusive flagship hospitality lounge, delivering unforgettable moments across the UK and beyond. With offices in London, Glasgow and Manchester, this role is based in London (Victoria) with occasional travel. It's a junior position supporting the Operations team, working Monday to Friday, 08:30-17:30. This is a permanent role with clear progression opportunities.

As Operations and Events Coordinator, you'll support the Operations and Events Manager in planning and delivering a wide range of events, including those at the company's premium hospitality venue. You'll work closely with venue and event managers to ensure guest needs and special requests are handled efficiently, and collaborate across sales, marketing and finance to keep all departments aligned.

Key Responsibilities
  • Liaise closely with venue and event managers to ensure special requests and guest details are received and handled promptly
  • Identify opportunities and make recommendations to enhance customer service, client experience, internal procedures, and CRM practices
  • Attend events as directed, working with venue and event managers to ensure seamless client delivery
  • Deliver presentations to the sales team, including pre- and post-event debriefs and workshops
  • Manage distribution, collection and analysis of post-event feedback to drive actionable improvements
  • Oversee design and production of event materials, working with the Operations team, external designers, and internal colleagues
  • Coordinate ticket dispatch, collating client data to ensure accurate and timely delivery
  • Manage hostess bookings for events, including staff passes, travel and accommodation
  • Update table plan configurations to track stock levels and sales availability, liaising with venues
  • Work closely with the Accounts team to align payments with event delivery and ticket schedules
  • Support and mentor a junior team member's ongoing development
What Our Client Is Looking For
  • Experience in event management, operations or project coordination is desirable but not essential - candidates from reception, events admin or similar backgrounds welcome
  • 12-18 months' relevant experience suits the role; 3 years' operations or events experience would be considered at the top of the salary range
  • A proactive, self-starting, can-do attitude
  • Confident communicator with strong interpersonal and relationship-building skills
  • Strong problem-solving skills
  • Highly organised with excellent time management and attention to detail
  • Adaptable and calm under pressure, able to juggle multiple projects
  • Proficient in Microsoft Office and comfortable with digital tools
