Job summary

White Recruitment Limited in Portsmouth is seeking an experienced Shipping Coordinator to manage orders from production through international shipment and delivery.

You will coordinate overseas manufacturers, confirm PO schedules and maintain timely shipments across UK and international markets. The role combines production tracking, freight coordination, invoicing support and ERP/Excel-based records, requiring strong organisation and proactive problem solving.

Qualifications

• Experience in international shipping and coordinating orders with overseas manufacturers.
• Strong knowledge of FOB shipping arrangements and international documentation.
• Experience tracking production schedules and managing cargo-ready dates.
• Excellent Excel skills and experience with an ERP/order-management system.
• Strong organisational skills and ability to manage multiple shipments and deadlines.

Responsibilities

• Factory & Production Coordination: Liaise with overseas manufacturers to confirm purchase orders, monitor production schedules and ensure goods are ready for shipment on time.
• International Shipping: Coordinate shipments from overseas to the UK and international markets, managing FOB arrangements, freight bookings and delivery schedules.
• Shipping Documentation: Prepare and check commercial invoices, packing lists, bills of lading and other relevant shipping and customs documentation.
• Freight & Customs: Obtain freight quotations, liaise with freight forwarders and customs agents, and coordinate import clearance and onward deliveries where required.
• Order Management: Track production progress, cargo-ready dates and goods in transit, keeping internal teams informed of any changes or delays.
• Costs & Invoicing: Check supplier and freight invoices, resolve discrepancies and help minimise unnecessary shipping and storage costs.
• Systems & Administration: Maintain accurate order and shipment records using Excel and ERP systems, ensuring deadlines and outstanding actions are monitored.
• Problem Solving: Identify potential delays, coordinate solutions with suppliers and logistics partners, and help improve existing processes.
