Job summary

Longulf Trading Limited in London seeks a Documentary Operations Coordinator to support contract execution and timely shipping documentation. You will prepare Bills of Lading, Invoices, Certificates and CoO, and coordinate with global suppliers and customers to ensure smooth shipments.

Ideally 2–3 years in commodities, with strong focus on INCOTERMS, accuracy and timely communication in a busy, multicultural environment. Opportunity to develop within a global trading group.

Qualifications

• 2–3 years’ experience ideally in commodities.
• Ability to understand contracts and INCOTERMS.
• Good communication skills both written and verbal.
• Ability to multitask and maintain accuracy.

Responsibilities

• Ensure contract files are received from Trading Team in good order.
• Issue Documentary Instructions / Shipping Instructions on time per Incoterm.
• Coordinate with customers and suppliers worldwide to expedite shipments.
• Enter details into our SAP B1 computer system.
• Review and assist with updating M files and transfer to archive.
• Assist with scanning and archiving old files to M files regularly.
• Update SAP with vessel discharge dates.
• Understand documentary requirements for different countries including legalization/certificates.
• Provide documents to customers on time (Invoice, Bills of Lading, Certificates).
• Present documents to Bank for payment under LC and Documentary Collection.
• Liaise with suppliers and customers throughout the documentation process.
• Monitor shipments and provide regular updates to customers.
• Follow-up on all requests and queries on time.
• Check and pass suppliers' invoices to Accounts for payment.
• Understand Letters of Credit and how they operate.
• Maintain high level of service and teamwork within Longulf.
