Job description

My client is seeking a General Office Assistant to join their busy team on a permanent basis in Central London.

This role reports to the Facilities Manager and is full-time, office-based.

The Role
  1. Process new deeds/Wills/files electronically before sending them to storage.
  2. Retrieve current deeds/files/Wills upon request from fee earners.
  3. Perform ad hoc tasks such as retrieving boxes, collecting confidential shredding sacks, laminating, binding documents, and delivering personal packages, refreshments, and stationery to departments.
  4. Maintain the file destruction programme.
  5. Convert manual processes into automated/electronic versions.
  6. Digitise and scan paperwork to reduce paper usage.
  7. Categorise, scan, and distribute post to fee earners/recipients.
  8. Order couriers (bike, small van, international) from service providers.
  9. Collect and process outgoing mail.
  10. Act as a point of contact for enquiries.
  11. Photocopy documents and plans accurately as instructed by fee-earning departments.
  12. Sign for courier deliveries and scan/deliver items upon receipt.
  13. Assist with banking runs for the Finance team.
  14. Check minor faults with photocopying machines and call engineers if needed; replace toner cartridges as required.
  15. Perform basic maintenance tasks such as changing light bulbs, replacing batteries, or helping move equipment (training provided).
Requirements
  • A confident, enthusiastic individual with good interpersonal skills, capable of communicating effectively at all levels within the firm.
  • Reliability and attention to detail are essential.
  • Experience is not necessary; full training will be provided.
  • Must be punctual, reliable, and able to attend work regularly.
  • Ability to multitask, work well in a team, and carry heavy loads.
  • Polite telephone manner and helpful attitude.
