Job summary

Pollock Scotrans Ltd in Bathgate is recruiting a Fleet Advisor to join the depot. You will support fleet operations, handle fleet administration, vehicle coordination, and day-to-day management of this busy contract.

You will coordinate external workshop activities (MOTs, tachographs), monitor progress, create purchase orders, and liaise with workshops to minimize downtime. The role requires knowledge of HGVs, strong communication, supplier management, and proficiency in MS Word, Excel, and

Job Description

We are currently recruiting for a Fleet Advisor to join our team at the Bathgate depot. This role will support the fleet operations function and will involve all aspects of fleet administration, vehicle coordination, and contributing to the effective day‑to‑day management of this busy contract.

Key Responsibilities

• Coordinate and manage external workshop activities for planned and unplanned maintenance, including MOTs, tachograph calibrations, and associated services for fleet trucks and trailers, ensuring full compliance with manufacturer requirements and operational deadlines.
• Provide regular updates on work-in-progress to the traffic operations team to support effective planning.
• Raise, record, and close job entries on the Group Freeway System, including the creation and finalisation of purchase orders.
• Liaise with external workshops to schedule work and communicate vehicle downtime accurately to operations.
• Work with external suppliers, negotiating to secure best value and maintain cost efficiency.
• Ensure the provision of approved and competent maintenance contractors for all fleet requirements.
• Collect inspection sheets, tachograph calibrations, MOT certificates, and other compliance documentation, forwarding all relevant paperwork to the central fleet administration team.
• Record, monitor, and administer defect reports in a timely and accurate manner.
• Coordinate and oversee responses to roadside breakdowns, including issues related to refrigeration units, tyres, tail-lifts, and other ancillary equipment.
• Offer guidance to drivers and operational teams on maintenance solutions aimed at reducing vehicle downtime.
• Provide technical support to colleagues and customers as required.

Requirements

• Strong knowledge of HGVs, ideally gained within a workshop, dealership, or similar operational environment.
• Excellent verbal and written communication skills.
• Proven experience in supplier management and cost control.

• Proficient in Microsoft Word, Excel, and Outlook.
• Able to work independently, manage competing priorities, and meet deadlines.
