Job description

The Role

Following an exciting period of growth, CoppaFeel! is seeking a dedicated and enthusiastic Finance Officer to join our expanding team. This role offers a fantastic opportunity for someone aiming to develop their career in charity finance and support our financial operations.

You will work closely with our Director of Finance and Senior Finance Manager to manage day-to-day finances and contribute to essential finance functions. As part of a newly formed finance team, you'll have the chance to make a significant impact as we refine our systems and processes for growth.

We are looking for someone with experience in a finance role, preferably within a small team or charity setting. Proficiency with accounting software (Xero preferred), strong Excel skills, and the ability to work independently are essential. Most importantly, you should be proactive, detail-oriented, and committed to our mission's success.

This role can be full-time or part-time, with a minimum of 26.25 hours per week.

The position reports to the Senior Finance Manager within the Finance team. It is a hybrid role, requiring attendance at our London office two days per week, including quarterly team meetings, department meetings, and in-person training, with advance notice provided.

Duties & Responsibilities
  1. Month-end tasks
  • Reconcile all bank accounts, fixed asset register, depreciation, payables, and receivables
  • Assist in preparing monthly management accounts
  • Support posting and reviewing month-end journals
  • Assist in preparing weekly payment runs and reports
  • Support administration and checking of pensions and employee benefits
  • Maintain accurate records of restricted fund transactions
  • Quarterly tasks
    • Prepare and submit VAT returns
    • Assist with Gift Aid claims and maintain accurate donor Gift Aid records
  • Stakeholder engagement
    • Oversee and provide cover for the Finance Assistant, ensuring smooth donation processing
    • Collaborate with the CRM Officer and Fundraising Team for accurate donation records
    • Provide finance support and training to staff, including inductions and policy updates
  • Procurement
    • Oversee accounts receivable and payable functions
    • Support procurement processes in line with policy
    • Assist with value-for-money costings and basic ROI analyses
  • Other tasks
    • Support the annual audit and report preparation
    • Work with the Operations Team on cross-organizational projects
    • Handle general administrative and ad-hoc finance tasks, including banking, event support, and processing physical Gift Aid/sponsorship forms
    • Perform other duties as required by the organization
    Skills, Experience, and Qualifications
    Essential
    • Experience in a small finance team managing diverse tasks
    • Excellent numeracy, communication, and organizational skills
    • Understanding of accounting principles, debits, and credits
    • Proficiency in Microsoft Office, especially Excel (pivot tables, lookups, formulas)
    • Proactive problem-solving approach
    • High accuracy and attention to detail
    • Collaborative mindset and team support skills
    Desirable
    • Experience in a charity or non-profit organization
    • Familiarity with Charity SORP
    • Experience with Xero accounting software
    • Understanding of full cost recovery
