As a Finance & Procurement Assistant, you will play a key supporting role in the day-to-day operations of the team, helping to ensure smooth financial and procurement processes. You will act as a point of contact for internal and external stakeholders and gain exposure to a broad range of financial activities. This role offers valuable professional development opportunities with potential for growth over time.

Your key tasks and responsibilities will include, but are not limited to:

Finance (50%)

  • Accurately input supplier invoices, expenses, and financial data into accounting systems to maintain up-to-date ledgers.
  • Perform regular credit control activities to support timely customer payments and reduce aged debt.
  • Manage supplier statements and handle escalated invoice queries.
  • Maintain accurate categorisation and approvals within the Allstar portal, ensuring credit card expenditures are properly recorded.
  • Input and organise financial data to support internal reporting and audit readiness.
  • Collaborate on finance reports such as Allstar summaries and project-specific financial tracking.
  • Respond to and manage finance-related mailbox queries in a timely and professional manner.
  • Support the Finance & Procurement Supervisor with ad hoc financial administration and reporting duties.

Procurement (50%)

·Creating purchase orders, bids, and RMAs as per business requirements, in line with procurement policies, and send to suppliers.

·Contacting suppliers to ensure meeting delivery schedules, to expedite and to alleviate potential supply shortages and or missed deliveries.

·Comparing prices, specifications, and delivery dates to determine the best bid among potential suppliers.

· Responding to customer, supplier and internal team inquiries about order status, changes, orcancellations

·Working closely with our suppliers and project teams to ensure orders are delivered on time in full.

·Checking purchase order acknowledgements to ensure orders will be fulfilled to our requirements, highlighting any discrepancies.

·Supporting with product and pricing queries

About you

We’re looking for someone with a genuine interest in finance and a desire to grow their career to join our team as a Finance & Procurement Assistant.

Ideally, you will have at least two years of experience in a finance-related role, though we’re also open to candidates with strong transferrable skills and a solid understanding of finance principles. Familiarity with the Procure to Pay process and a strong sense of commercial awareness will be key to succeeding in this role.

Given the importance of this position within our team, we're looking for someone who is highly organised, detail-oriented, and comfortable working under pressure. You should be a team player with a proactive attitude and a willingness to support other areas of the business when needed.

In this role, you’ll work closely with the Finance & Procurement team, gaining hands-on experience in areas such as VAT returns, payroll, and financial year-end processes across multiple countries.

Strong proficiency in Microsoft Office, especially Excel, is essential—knowledge of formulas and functions will be required.

While previous procurement experience is a plus, it is not a requirement for this role.
