Reports to:Head of Finance with dotted line to Operations Manager
Duration:Perm
Hours:Full time
Office Location:Batty Street- 3 days a week, 2 days WFH
Role Purpose
To assist the Head of Finance in ensuring that the Finance function is a world class, best in industry operation. The Finance and Operations Assistant will be responsible for updating and maintaining the accounting records ensuring that information is up to date and can be relied upon by senior stakeholders. The Assistant will also undertake duties in relation to premises and studios management and budgets. On the finance side, the range of responsibilities includes maintaining accurate accounts payable and accounts receivable records, and ensuring that all suppliers are paid in a timely manner. On the operations side you will ensure our offices and studios are ready to receive clients and colleagues.

Experience with accounts payable and receivable processes and procedures.
Basic understanding of accounting and book-keeping.
Ability to deal with a high volume of processing.
Attention to detail, with an ability to spot numerical errors.

Key Responsibilities
Accounts Payable, ensure all payable invoices are posted onto the accounting system Xero, under the correct account, department, brand and tax code.
Accounts Receivable, ensure timely and accurate raising of invoices as well as debtor chasing.
Reporting, ensure accurate and timely delivery of expense and aged receivable reports.
P&L, responsible for posting of all transactions onto the ledger including raising invoices and month-end journals.
Management of Fixed Asset Register and our pool of laptops, devices and related equipment.
Bank reconciliation, Prepare bank reconciliations at month-end.
Cash reporting, update daily cash report including relevant commentary on any significant movements.
Cashflow, ensuring we have sufficient cash balance on hand in each currency, anticipating any necessary payments and transfers.
Payments, preparing suggested payments for review by the Financial Controller and preparing payment runs.
Management of expenses system Spendesk, ensuring all card and reimbursement expenses are reconciled and posted to Xero in a timely manner.
Policies & Procedures, follow documented policies and procedures and communicate to non-finance colleagues as necessary.
Office coordination in the form of
management of collections and deliveries
ensuring our facilities are client and colleague ready
stocked kitchen pantry (ordering and storing)
creating and maintaining welcoming meeting and working spaces
meeting room management
key holder management
liaising with our cleaning operatives with support from the Operations Manager .
Other ad hoc tasks/projects as advised by the Head of Finance or Operations Manager
