Job Role
- Build a strong relationship with the landlord House Reception team to ensure high standards are maintained for DXC staff and clients.
- Responsible for managing the delivery of site services and resolving any issues that may arise. Site services provided by CBRE shall include Post/deliveries, Cleaning, Vending management, Office Services, Waste, Hard Services, in line with account processes, SLA's/KPIs.
- Control & management of the site financial budget – using financial systems, this role will be accountable for accurate forecasting and attending periodic client review meetings.
- Raising of Purchase Orders, managing FCR's (Funding Client Requests) through to closure. Occasional ad-hoc support for wider UK account portfolio may be required.
- Control & management of third-party contractors – completion of inductions, maintenance of QHSE paperwork, and escorting around the site.
- Responsible for ensuring full compliance for the delivery of services CBRE is responsible for, in accordance with all QHSE requirements.
- Completion of required monthly Health & Safety documents within the required timelines (Monthly workplace inspection, hazard reporting, self-assessments, and safety observations).
- Manage and maintain the compliance tracker for the site.
- Daily monitoring of site work orders on SI7 and Vantage systems to ensure account KPIs are met.
- Manage and perform meeting room setups and bookings in line with client requirements.
- Support the coordination and testing of Business Continuity Planning for the site.
- Ensure all equipment is maintained and operated safely.
- Establish and maintain customer satisfaction by providing quality and proactive service.
- Support and communicate with clients and the customer base within your area of responsibility, providing proactive support.
- Involvement in out-of-scope supplier projects, supporting staff and liaising with CBRE and landlord teams to ensure successful delivery of project works.
- Maintain performance standards to ensure customer expectations are achieved or exceeded.
- Timely maintenance of site information across all CBRE platforms: SI7, Smartsheet, Vantage, MYHSE, E-logbooks, Harbour, Adaptive.
- Develop and maintain successful working relationships with the client, key stakeholders, customers, landlord representatives, and suppliers.
- Weekly utilization submissions to ensure accurate headcount reporting.
- Assist in preparing hospitality requests as required.
- Manage e-logbooks, working closely with the technical team for reviews and updates. Attend and support all site audit activities.
- Maintain regular communication with the building landlord.
- Manage the car parking badging system.
- Seek opportunities to improve services and work in cost-effective ways.
Person Specification
- Exceptional customer service skills.
- At least 5 years in a similar position within an FM or related services environment.
- Good knowledge of SLA's and KPI's.
- Understanding of contracts and negotiations.
- Experience dealing with suppliers and contractors.
- Proficient in Microsoft systems.
- Strong oral and written communication skills.
- Ability to work under pressure and meet deadlines.
- Strong finance skills with experience in budget management.
- Flexible approach to support time-critical projects.
- Excellent organizational skills, attention to detail, and ability to handle a wide range of activities.
- Experience in dealing with customers in a corporate environment with a focus on customer service.
- Security clearance is essential.
