The Facilities Co-ordinator plays a key role in creating a safe, efficient and welcoming workplace; they will co-ordinate maintenance, manage service requests, ensure health and safety compliance, and support a positive workplace experience.
We're looking for a highly organised, detail-oriented and proactive individual with strong communication skills and the ability to work effectively with colleagues, contractors and external suppliers.
Key Responsibilities
Maintenance Co-ordination
- Co-ordinate routine maintenance, repairs, and upgrades for building systems including HVAC, electrical, plumbing, and other mechanical systems
- Oversee and manage service requests, ensuring timely and effective resolution
- Schedule and supervise maintenance and repair work by external contractors
- Maintain records of all maintenance activities and service requests
Facility Operations
- Manage the day-to-day operations of the facilities, including office space allocation, furniture arrangements, and workspace setup
- Monitor building systems and equipment to ensure optimal performance and compliance with safety standards
- Assist in space planning and office moves, coordinating logistics to minimise disruption
- Conduct regular inspections of the facilities to identify potential issues and ensure cleanliness and orderliness
Contractor Management
- Build and maintain relationships with external vendors and contractors, ensuring high-quality service and adherence to contracts
- With the procurement team, manage service contracts for waste management, and other essential services
- Monitor contractor performance and address any issues or discrepancies
Health and Safety Compliance
- Ensure that the facility complies with all relevant health and safety regulations
- Conduct safety audits and risk assessments, implementing corrective actions as necessary
- Co-ordinate emergency preparedness and response plans, including fire alarm test, drills and safety training
- Maintain records of safety incidents and corrective measures taken
Budget and Inventory Management
- Assist in the preparation and management of the facilities budget, including tracking expenses and ensuring cost-effectiveness
- Manage inventory of maintenance materials, and equipment, ensuring availability when needed
- Support procurement activities for facilities-related goods and services
Employee Support
- Act as the primary point of contact for facility-related issues, providing timely support and resolution
- Co-ordinate with HR and IT to ensure new hires have the necessary workspace and equipment
- Facilitate a positive workplace environment by addressing employee concerns related to facilities
