Job summary

MidKent College, based at the Maidstone Campus, invites applications for a Facilities and Health and Safety Administrator. This permanent, full-time role provides administrative support to the Facilities Department and serves as the link between Health and Safety Consultants and the College, including handling front-line inquiries and aiding compliance with safety standards.

Reporting to Louise Caulfield, you will assist with room audits, safety data collation, and general admin tasks such as

  • Support the Health and Safety Consultants in room audits for compliance with legislation (risk assessments, COSHH, mitigations).
  • Follow up room audit actions with the responsible manager and Health and Safety Consultants to enable subsequent audits.
  • Collate monthly Health and Safety data (accidents, incidents, near misses) and assist in communicating lessons learned.
  • Provide a full administrative service to the Facilities Department (reprographics, updating notices, credit card issues, expenses, ordering and information distribution).
  • Assist with recording and approving trips for students in liaison with H&S consultants.

Description

Provide general administrative support to the Facilities Department, with specific duties in respect of providing the administrative link between Health and Safety Consultants and the College, including providing a front-line enquiry service for all internal Health and Safety enquiries, playing a key role in supporting departments to ensure Health and Safety compliance.

Main Responsibilities and Duties:

The following is an indication of the type and level of the main priorities expected of this role as directed by your line manager and is not intended to be a comprehensive list of duties or tasks:

  • Support the Health and Safety Consultants in their completion of room audits for compliance with legislation, i.e. risk assessments, COSHH information and general mitigations against accidents and injuries.
  • Assist with ensuring that room audit actions are followed up by the responsible manager and liaising with the Health and Safety Consultants once these actions have been completed, in order to allow follow up audits to run smoothly.
  • Collate monthly Health and Safety data, in particular the reported accidents, incidents and near misses, ensuring that the Health and Safety Consultants are assisted in following up to ensure that the College can learn from such issues and communicate lessons learned to relevant stakeholders or departments as necessary.
  • Assist with the general management of the department, providing a full administrative service, including undertaking reprographics duties, and ensuring that systems are periodically reviewed, including drawing up correspondence, updating notice boards, monitoring and resolving credit card issues, expenses etc., assisting with Facilities Department ordering and distributing information as required, ensuring that appropriate arrangements are in place in order to maintain continuity of service at all times.
  • Assist with the recording and approval of trips for students, in particular in communication with the H&S consultants to ensure that all risk assessments are appropriate and acceptable for approval.
