Aventa is seeking, on behalf of our client—a leading developer in the offshore renewable energy sector—an Operations Coordinator to join their Project Management Department. This role offers a unique opportunity to work alongside a team of skilled engineers, contributing to one of the most significant offshore wind developments in the region.
Responsibilities:
- The Near Shore and Far Shore Operations Coordinators report to the Heads of Near Shore or Far Shore and work cooperatively to support all aspects of Near Shore or Far Shore operations.
- Maintain a current understanding of the Ørsted Wind Power Operations’ Asset Integrity Management Strategy and Policy, perform related activities, and ensure understanding within their direct line organization.
- Impact the quality, safety, performance, and effectiveness of Operations.
- Support operational project planning and governance.
- Serve as the point of contact for global functions/PMs for projects in the ECR, handling queries.
- Manage annual requests for Statement of Requirements (SoRs), the SoRs & ECR Project Tracker, and report progress, including chasing outstanding start & end dates and WBS codes.
- Produce monthly performance dashboards with accurate narratives.
- Manage DORECO Document Management, including creation and maintenance of project folders throughout the project lifecycle.
- Oversee the Annual AIMP Review for the team.
- Review the GPC Schedule weekly versus received SoRs, report deviations, additions, and date changes.
- Organize and facilitate quarterly project workshops for continuous improvement and standardization.
- Handle OESR P / CP Invites for projects into the region, including certification and competencies review.
- Register and review SOMS as requested.
- Update and review the Projects Safety Pack for onboarding purposes.
- Manage UKE STATS Inspections documentation, record information, and upload relevant reports.
- Ensure a fully auditable project documentation repository is maintained, sharing best practices across regions.
- Manage relevant inboxes, ensuring effective communication of project requests and reports.
- Oversee contractor monthly exposure hours reporting.
- Coordinate near shore/far shore strategic initiatives input.
- Produce monthly operational performance dashboards for site reviews.
- Maintain and update Asset Safety Packs.
- Plan departmental events such as business planning, team building, and safety events.
- Participate in meeting governance, including Near Shore/Far Shore drumbeat meetings.
- Manage stakeholder relations and point of contact for visitors at relevant sites.
- Maintain and update Site Synergi data, categorizing actions and chasing overdue items.
- Support SAP purchasing activities, including PRs and POs.
- Assist with WBS governance and cost allocation, including budget file management.
- Own and update distribution lists for relevant sites.
- Assist with recruitment and onboarding of new starters at relevant sites.
Requirements and Qualifications:
- Relevant educational background for the role.
- Proven experience providing administrative support and maintaining office systems.
- Excellent communication and problem-solving skills.
- Intermediate to advanced proficiency in MS Word, Excel, and Outlook.
- Ability to prioritize tasks, organize time efficiently, and be proactive.
- Fluent in English, both spoken and written.
- Business administration qualification.
- Work experience in a technical business, with knowledge in economics and logistics (site-specific).
- Experience working in a large international organization.
- Intermediate to advanced SAP skills.
