Job Opportunity: Operations Coordinator

Aventa is seeking, on behalf of our client—a leading developer in the offshore renewable energy sector—an Operations Coordinator to join their Project Management Department. This role offers a unique opportunity to work alongside a team of skilled engineers, contributing to one of the most significant offshore wind developments in the region.

Responsibilities:

The Near Shore and Far Shore Operations Coordinators are responsible to the Heads of Near Shore or Far Shore, working cooperatively to support all aspects of Near Shore or Far Shore operations.

Key responsibilities include:

  • Maintaining understanding of the Ørsted Wind Power Operations’ Asset Integrity Management Strategy and Policy, performing activities aligned with it, and ensuring comprehension within their team.
  • Supporting operational project planning and governance.
  • Serving as the point of contact for global functions/PMs for project requests in the ECR and handling related queries.
  • Managing the annual Statement of Requirements (SoRs), the SoRs & ECR Project Tracker, and reporting progress, including chasing outstanding start/end dates and WBS codes.
  • Producing monthly performance dashboards with accurate narratives.
  • Managing DORECO Document Management, including project folder creation and maintenance throughout the project lifecycle.
  • Overseeing the Annual AIMP Review for the team.
  • Reviewing the GPC Schedule weekly versus received SoRs, reporting deviations and updates.
  • Organizing and facilitating quarterly project workshops for continuous improvement.
  • Handling project invites for certifications and competencies, and reviewing registration of SOMS if requested.
  • Updating the Projects Safety Pack for onboarding purposes.
  • Managing UKE STATS Inspections documentation and recording inspection data.
  • Maintaining an auditable project documentation repository, sharing best practices across regions.
  • Managing relevant inboxes and ensuring effective communication.
  • Overseeing contractor monthly exposure hours reporting.
  • Coordinating near shore/far shore strategic initiatives.
  • Producing operational performance dashboards for monthly reviews.
  • Maintaining and updating Asset Safety Packs.
  • Planning departmental events such as business planning, team building, and safety events.
  • Participating in meeting governance and stakeholder management.
  • Ensuring Site Synergi data is updated and actions are chased.
  • Supporting SAP purchasing processes, including PRs and POs.
  • Assisting with WBS governance and cost allocation, including budget checks.
  • Managing distribution lists and onboarding new starters.
Requirements and Qualifications:
  • Relevant educational background for the role.
  • Experience in providing administrative support and maintaining office systems.
  • Excellent communication and problem-solving skills.
  • Intermediate to advanced proficiency in MS Word, Excel, and Outlook.
  • Ability to prioritize and organize tasks proactively.
  • Fluent in English, both spoken and written.
  • Business administration qualification.
  • Work experience in a technical business environment.
  • Experience in economics and logistics, specifically site-specific.
  • Experience working in a large international organization.
  • Intermediate to advanced SAP skills.
