Job summary

Brook Street in London is seeking an Executive Secretary / PA to support two Deputy Directors in a high-profile government environment. You will manage complex diary schedules, coordinate meetings end-to-end, and take minutes from senior management meetings.

Travel arrangements (UK and overseas), expenses processing, and Directorate budget support are also required. The role demands discretion, outstanding organisational ability, and fluent written and verbal communication, with hybrid working

Responsibilities

  • Manage and organise complex diary schedules for two Deputy Directors, including inbox management and meeting coverage.
  • Coordinate meetings and events end-to-end: booking rooms, creating agendas, distributing updates.
  • Take and circulate minutes from senior management meetings.
  • Arrange travel (UK and overseas when required), ensuring cost effectiveness and policy compliance.
  • Process Deputy Directors' expenses and support Directorate budget responsibilities.
  • Provide administrative support across the Directorate and across teams including comms, planning, recruitment and IT.
  • Support cross-directorate collaboration to keep priorities aligned.
  • Maintain HR and finance records and support internal communications.
  • Step in to support broader Directorate programme activity and cover for other PAs when needed.

Executive Secretary / P.A

Location: Old Admiralty Building, London, Greater London, SW1A 2AY (Hybrid)

  • Pay rate: £16.31 per hour
  • Contract length: 6 months
  • Working pattern: Monday to Friday, hybrid working (typically 2-3 days per week in the office)
  • Interview format: Microsoft Teams
  • Security clearance: Basic DBS required (Costs covered by the hiring process)

You'll be supporting a high-profile and sensitive area of Government work-helping ensure priorities are ready, meetings are well organised, and decisions can move forward.

What you'll be doing:
  • Manage and organise complex diary schedules for two Deputy Directors, including inbox management and ensuring effective meeting coverage
  • Coordinate meetings and events end-to-end: booking rooms, creating agendas, and distributing updates
  • Take and circulate minutes from senior management meetings
  • Arrange travel (UK and overseas when required), ensuring cost effectiveness and compliance with policy
  • Process Deputy Directors' expenses and support the Business Manager with Directorate budget responsibilities
  • Provide administrative support across the Directorate-working with other PAs and colleagues across teams including comms, planning, recruitment and IT
  • Support cross-directorate collaboration with offices, teams, PAs and Private Secretaries to keep priorities aligned
  • Maintain accurate HR and finance records and support internal communications (e.g., notes, huddles and events)
  • Step in to support broader Directorate programme activity, including business planning and covering for other PAs when needed
