Job summary

Brook Street is recruiting a Personal Assistant to support two Deputy Directors in London. You will manage two calendars, inboxes and end-to-end meeting logistics to keep priorities on track and leaders well supported in a jobshare arrangement.

This role requires proactive organisation, discretion with sensitive information and strong communication across teams. It is hybrid, with three days in the office and start date ASAP, with an extension possible for strong performance.

Responsibilities

  • Manage day-to-day diary and inboxes for two Deputy Directors, resolving clashes and prioritising appointments in line with business needs
  • Coordinate meetings end-to-end: scheduling, attendee coordination, room booking, hospitality arrangements, agendas, papers and circulation
  • Draft and manage correspondence on behalf of the Deputy Directors where appropriate
  • Monitor inboxes for urgent or sensitive matters and escalate when required
  • Provide note-taking and minute support, ensuring actions and decisions are recorded and circulated
  • Support divisional events and assist with visitor escorting and in-person meeting logistics
  • Contribute to inbox rota coverage for New Proceedings and Treasury Solicitor inboxes, including triage/allocation and keeping records
  • Support reporting and document management, including weekly/monthly reports and time recording
  • Assist with travel and accommodation bookings, plus wider team logistics for training/away days and meetings
  • Help with onboarding/induction administration and off-boarding coordination for new joiners/leavers
  • Provide bonus award and ad hoc admin support for time recording and invoice approvals

  • Pay rate: £17.54
  • Working pattern: Full time, 9am-5pm
  • Hybrid: 3 days in the office
  • Clearance: Basic DBS required (Costs covered by the hiring process)
  • Start date: ASAP (pending vetting)
  • Assignment length: until 17/09/2027 (extension possible for strong performance)

What you'll be doing:
  • Manage day‑to‑day diary and inboxes for two Deputy Directors, resolving clashes and prioritising appointments in line with business needs
  • Coordinate meetings end‑to‑end: scheduling, attendee coordination, room booking, hospitality arrangements, agendas, papers and circulation

What you'll bring:
