Description

Job Title: EA to the CFO

Contract Type: Fixed Term (9 months)

Flexibility: This role is available part-time, job-share or full time. This is because we want the best people for our roles, and we recognise that sometimes those people aren't available full-time.

Location: In terms of location, we have offices in Teddington & London, and we are happy to explore flexible and hybrid working arrangements. Please note that travel to customer sites or to attend meetings will be required.

About The Role

We're looking for a highly organised and proactive Executive Assistant to support our Chief Financial Officer. This is a key role that ensures the CFO can operate effectively and efficiently, with the right support at the right time.

You'll provide a wide range of executive support services, including diary and inbox management, meeting coordination, travel arrangements, and event planning. You'll also support senior members of the UK-based finance team and play a part in wider business support activities.

Your responsibilities will include:
  • Managing a busy diary across multiple time zones
  • Coordinating meetings, preparing agendas, and taking minutes
  • Organising travel and producing itineraries
  • Supporting the CFO with correspondence and follow-ups
  • Planning internal events for the Finance team and leadership group
  • Maintaining records and systems, processing expenses, and handling confidential information
  • Acting as a point of contact for internal and external stakeholders
  • Providing cover for other Executive Assistants and reception when needed
You'll also be involved in supporting the global external audit process and tracking key deadlines.

About You

You'll be confident working with senior leaders and external contacts, and able to build strong working relationships quickly. You'll be calm under pressure, flexible, and able to manage a changing workload with ease.

We're looking for someone who has:
  • Experience as a PA or EA at Director level
  • Experience working in a global environment
  • Excellent communication skills, both written and verbal
  • Strong Microsoft Office skills and the ability to produce high-quality documents and presentations
  • A professional and approachable manner
  • A high level of discretion and the ability to handle sensitive information
  • A proactive approach to problem-solving and improving processes
You'll also need to be comfortable working outside core hours occasionally and travelling within the UK when required.
