Executive Assistant to the Regional President of Agfa HealthCare - Northern Europe (UK based)

The Executive Assistant to the Regional President of Agfa HealthCare (Region Northern Europe) is responsible for providing comprehensive support to the President. This dynamic position requires the ability to anticipate needs, think critically and offer solutions to problems with a high level of professionalism and confidentiality. This highly visible position serves as the principal point of administrative contact and acts as a liaison with internal and external constituencies. It requires a high degree of discretion, self-direction, exceptional organizational skills, and resourcefulness combined with strong emotional intelligence and solid analytical skills.

Main Duties And Responsibilities:

  • Proactively manage an extremely active calendar of appointments, ensuring the President's schedule is followed and respected.
  • Providing support to the President to ensure the smooth flow of information and activities in a multifaceted operation with ever-changing priorities.
  • Coordinating all meeting logistics such as conference room reservations, catering orders, preparing agendas, meeting materials, and assisting with the creation of presentation materials.
  • Oversees and/or arranges special projects and events such as retreats, luncheons/dinners, conferences, and presentations.
  • Coordinates all travel arrangements (Flights, Car rentals, Trains, Uber/Lyft…).
  • Communicating directly, and on behalf of the President; managing and preparing all correspondence and reports.
  • Conserves Executive's time by reading, researching, and routing correspondence; drafting letters and documents; obtaining information and reports, drafting meeting minutes, actions, follow up, communicating to stake holders and ensuring actions are completed.
  • Provides a bridge for smooth communication between the President's office and internal departments; demonstrating leadership to maintain credibility, trust, and support with executive and senior management and employees.
  • Works closely and effectively with the President to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately.
  • Prioritizes conflicting needs; handle matters expeditiously, proactively and follows-through on projects to successful completion, often with deadline pressures.
  • Completes various projects and requests as assigned.
  • Can offer support to other Directors in the team of the President, in terms of diary management or specific projects where appropriate.
  • Can offer administration support to cover other Executive Assistants where required, in other geographies the President overseas, to create purchase orders or requests as an example.

Education:

  • Bachelors Degree required.

Experience:

  • 7 to 10 years of work experience supporting C-Level Executives, preferably in a Global Organization.

Specific Skills:

  • Strong organizational skills that reflect the ability to perform and prioritize tasks seamlessly with excellent attention to detail.
  • HealthCare IT experience or working with/at the NHS is a strong benefit
  • Very strong interpersonal skills with ability to build relationships.
  • Expert level written and verbal communication skills.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of professionalism.
  • Positive, proactive attitude; accountable and dependable; Meticulously thorough and accurate.
  • Advanced level expertise of Microsoft Office suite, Expense reporting tools (SAP/ Concur) &Travel software (Egencia).
  • Proficient with Social Media use for business needs

Location: This a homebased/remote role in the UK. Our office locations are Marlow and Leeds.
