Job description

Executive Assistant to Investor Relations

Capula is hiring a highly organized and proactive Executive Assistant to support the Co-Head of Investor Relations on a 12-month fixed-term contract. This role is essential in ensuring the smooth operation of the IR function and requires excellent communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

The EA will manage complex diaries, coordinate investor meetings, prepare briefing materials, handle confidential information, and provide daily administrative support. This position offers exposure to senior stakeholders both internally and externally within the IR team.

Key Responsibilities
  1. Organize multi-destination travel, including visas, itineraries, transfers, and accommodations.
  2. Manage extensive diaries for internal and client meetings.
  3. Act as an ambassador to clients, counterparties, and third parties.
  4. Ensure timely invoicing and expense management.
  5. Serve as the primary contact for investor inquiries and requests.
  6. Arrange travel and meetings for team members.
  7. Organize investor events, conferences, and seminars, including the Global Investor Summit.
  8. Maintain and update Investor Relations systems and databases.
  9. Handle administrative duties related to investor relations, including questionnaires, meeting minutes, and correspondence.
  10. Coordinate conference attendance and prepare necessary materials.
  11. Utilize CRM systems effectively.
  12. Collaborate with other departments to generate reports and updates.
  13. Process expenses and maintain tracking spreadsheets for investor activity.
  14. Manage the investor inbox and process annual investor gifts.
  15. Perform other duties as reasonably required.
Minimum Requirements
Education and Qualifications
  • University degree preferred.
Experience
  • Experience in investor relations within financial services preferred.
  • Experience with CRM systems such as Folio Metrics or similar.
  • Proven experience arranging travel, visas, and liaising with travel providers.
  • Event coordination experience.
Skills
  • Excellent written and verbal communication skills in English.
