GHS Clinics is establishing a new benchmark in private care, and we're looking for an exceptional Executive Assistant to provide high-level support to our CEO during this exciting launch phase and beyond at our brand-new, state-of-the-art facility in central Cheltenham.

You will play a crucial role in ensuring the CEO's efficiency, productivity, and overall effectiveness, enabling them to focus on strategic growth and delivering exceptional patient care.

Reporting to: Chief Executive Officer (CEO)
Start Date: July 2025
Salary: £30,000 - £35,000 depending on experience
Hours: Full time
Key Responsibilities:
- Comprehensive Administrative Support: Manage the CEO's complex and ever-changing diary, proactively scheduling appointments, meetings, and travel arrangements, ensuring efficient use of their time.
- Act as the primary point of contact for internal and external stakeholders, screening calls, emails, and correspondence, and responding appropriately and professionally.
- Organise and maintain confidential files and records, both electronic and physical, ensuring easy access and retrieval.
- Coordinate and support board meetings and other executive-level meetings, including preparing agendas, distributing materials, taking minutes, and tracking action items.
- Manage office supplies and ensure the smooth operation of the CEO's office.
- Project and Initiative Support: Assist the CEO in the planning, execution, and monitoring of strategic initiatives and projects related to the clinic launch and ongoing operations.
- Conduct research and gather information as required by the CEO.
- Prepare reports, summaries, and analyses to support the CEO's decision-making.
- Track progress on key deliverables and follow up on outstanding actions.
- Gatekeeper and Liaison: Act as a trusted gatekeeper, understanding the CEO's priorities and filtering requests accordingly.
- Build and maintain strong working relationships with internal teams, external partners, and key stakeholders.
- Facilitate effective communication between the CEO and other members of the leadership team and staff.
- Confidentiality and Discretion:Handle highly sensitive and confidential information with the utmost discretion and professionalism.
- Problem Solving and Proactive Support: Anticipate the CEO's needs and proactively identify and address potential issues or challenges.
- Exercise sound judgment and initiative in resolving administrative matters.
Qualifications and Experience:
- Proven experience (ideally 3+ years) as an Executive Assistant supporting senior-level executives, preferably within a fast-paced environment. Healthcare experience is advantageous but not essential.
- Exceptional organisational and time management skills with a demonstrated ability to prioritise tasks, manage multiple deadlines, and work effectively under pressure.
- Excellent communication skills, both written and verbal, with a professional and articulate manner.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong attention to detail and a high degree of accuracy.
- Ability to exercise sound judgment, discretion, and initiative.
- A proactive and solution-oriented approach with a strong work ethic.
- Ability to build strong working relationships and work collaboratively with diverse teams.
