We are currently recruiting for an Executive Assistant to join a UK Charity based out of London. As Executive Assistant you will supporting the Chief Executive to ensure the smooth and efficient running of their office, facilitate good governance practices through the delivery of Board and sub-committee meetings, and to support operational aspects such as HR, facilities, and IT.
Key duties and responsibilities:
Chief Executives Office:
To provide guidance and mentorship to the Diary Manager to the Chief Executive.
To ensure the Chief Executive is prepared for and fully briefed ahead of their commitments.
To effectively manage the inbox of the Chief Executive.
To draft and send correspondence on behalf of the Chief Executive.
Governance:
Manage the delivery of meeting of the Board of Trustees and the four sub-committees, including circulation of meeting papers, the taking of accurate minutes and updating of action logs.
Act as point of contact for Trustees and also for colleagues looking for guidance as to how best to communicate messages to Trustees.
Maintain the Board’s register of interests.
Ensure the Charity remains compliant with good governance principles and statutory requirements.
Maintain a record of Trustee terms of office and plan ahead for recruitment campaigns where Trustee terms of office are coming to an end.
Support the recruitment and induction of new Trustees.
Draft agendas for the regular senior leadership meetings.
Operations:
Support the Director of Finance and Resources with the operational needs of our small office including facilities, IT, HR admin and recruitment as and when required.
Skills and experience required:
Experience working in a Chief Executive’s office.
Demonstrable understanding and awareness of governance models, current best practice and up to date legal requirements of corporate governance.
True team player who can thrive in a small charity with a highly collegiate environment where matrix working is the norm.
Excellent communication skills, both written and verbal.
Excellent and wide-ranging administrative, planning and organising skills, with the ability to manage and take responsibility for own workload within agreed priorities and deadlines.
Ability to work with information of a sensitive nature, maintain confidentiality at all times.
