Executive Assistant at B7, River Birch Newman & Fintegrate

As the Executive Assistant, you will be integral to our operations, providing essential support to the Managing Director.

Your role will encompass managing emails, coordinating diaries and projects, client communication, document preparation, and driving outbound sales efforts (via email / LinkedIn). This is a vital role for the Managing Director and a great opportunity for someone who enjoys being at the heart of a fast-moving, growing environment and ensuring the wheels keep turning across multiple companies.

Key Responsibilities:

  • Inbox and Communication Management: Efficiently manage the Managing Director's email inboxes, ensuring timely responses and file organisation.
  • Task Coordination: Keep the Managing Director's to-do list and project management software updated, assisting in prioritising tasks.
  • Project Management: Coordinate projects, ensuring all timelines are met and stakeholders are informed.
  • Client Liaison: Serve as the main point of contact for clients, maintaining strong relationships.
  • Sales and Marketing Support: Contribute to business growth through outbound sales efforts and email marketing management.
  • Administrative Excellence: Handle scheduling, meeting coordination, and report preparation meticulously.
  • Data Management: Maintain accurate and up-to-date records and databases, and assist in data analysis.
  • Event Planning: Organise and manage company events, ensuring all logistical details are covered.
  • Resource Allocation: Manage resources including budget tracking and vendor management.
  • Process Improvement: Continuously seek and implement improvements in procedures and workflows.
  • Accounts: Prepare and issue invoices to clients using Xero.
