Job description

We are seeking a talented Executive Assistant to join our team at Guy Carpenter.

This role will be based in our London office and is a hybrid role that has a requirement of working at least three days a week in the office.

Please note: This role is to cover maternity leave so is only available as a 12 month fixed term contract.

We are looking for an experienced Executive Assistant who will be able to showcase their skills and add value straight away.

The role involves a high level of conference/seminar organising so will suit someone who has previous event planning experience

We will count on you to:

  • Remain compliant with internal standards and policies when dealing with sensitive information by always maintaining confidentiality.
  • Assist team with a variety of general administrative tasks as assigned; provides coverage for EAs who are out of the office to ensure seamless support to all senior level employees.
  • Prepares responses to routine enquiries.
  • Builds relationships with clients and clients EAs; proactively spot clients that haven't been called upon and/or who need follow up.
  • Understands the business goals and objectives of each supported senior level employee and helps to push them forward.
  • Maintains diaries for senior level employees; schedules internal and external meetings, communicates with clients and infrastructure staff as appropriate; coordinates travel and accommodations.
  • Take an active role in organising conferences, seminars and client meetings.
  • Maintain and manage a busy diary, organising internal and external appointments considering current priorities and the need for focus time
  • Monitor inbox, responding to emails where appropriate, flagging them for later discussion
  • Coordinate and arrange business trips including meeting itineraries, flights and accommodation
  • Liaise with internal and external colleagues and clients
  • Reconcile expense claims and credit card statements
  • Act as a 'gate keeper' to ensure non-essential tasks are given low priority
  • Undertake ad-hoc projects


What you need to have:
  • Experience working in a similar role which demonstrates your ability to multi-task, organise and prioritise effectively
  • Previous event planning experience
  • Ability to plan and organise self and others
  • Strong written and verbal English language skills
  • Sound knowledge of Microsoft Office
  • Proven ability to develop and maintain relationships
